AppleOne is proud to present:
An international law firm specializing in international business law is seeking an experienced and highly skilled Litigation Secretary. This role is available on a Temporary-to-Hire or Direct Hire basis and is open to both Full-Time and Part-Time candidates.
The position will begin with an initial 30-day in-office training period, after which it will transition to a fully remote arrangement.
Key Responsibilities
Litigation Support: Provide comprehensive support to three (3) attorneys across all phases of litigation, including drafting, formatting, proofreading, and finalizing legal documents (pleadings, motions, discovery, etc.).
Complex Calendaring: Manage and maintain three attorney schedules, ensuring accurate tracking of critical deadlines, court appearances, depositions, and hearings using precise calendaring systems.
Document Management & Filing: Oversee case file organization, document management, and routine correspondence.
E-Filing Mastery: Handle the electronic filing of legal documents with state and federal courts, strictly ensuring compliance with all specific court rules and deadlines.
Advanced Document Preparation: Prepare and finalize professional legal documents, including the proficient generation of Tables of Contents (TOC) and Tables of Authorities (TOA).
Administrative & Client Support: Serve as a professional point of contact for clients, coordinate attorney travel, schedule meetings, and assist with preparations for trials, hearings, and depositions.
Case Progress Tracking: Proactively monitor case status, maintain detailed case files, and ensure all firm and court deadlines are met.
Required Qualifications
Experience: Minimum of five (5) years of recent experience as a Litigation Secretary or in a similar legal administrative role, with a strong emphasis on litigation support, calendaring, and state/federal court e-filing.
Stability: Demonstrated record of good work stability is required for this role
Skills:
Proven ability to manage a high-volume legal desk and provide support for multiple attorneys simultaneously.
Exceptional organizational skills, with a proven ability to manage competing priorities and meet tight deadlines efficiently.
Superior written and verbal communication skills, coupled with meticulous attention to detail.
Technology Proficiency: Strong command of legal software (e.g., iManage, Clio, Litera, PACER, ECF, or similar) and advanced proficiency in the Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat Pro.
Solid understanding of legal terminology, court processes, and compliance requirements for pleadings, discovery, and court forms.
Successful completion of a background check and professional references is required.
