Role Overview:
As our Construction Office Manager, you will ensure that our office operations, bookkeeping, vendor and subcontractor administration, and overall project office support run smoothly and efficiently. You’ll be the point person connecting field operations, senior leadership, vendors/subcontractors, and professional services (accounting/HR) via QuickBooks Online and other systems.

Core Responsibilities:

Manage day-to-day office operations: incoming calls, emails, vendor/subcontractor communications, supply/inventory management.

Oversee full cycle bookkeeping and accounting tasks using QuickBooks Online: accounts payable, accounts receivable, invoicing, check runs, bank reconciliations, month-end close.

Process subcontractor/vendor invoices, ensure lien waivers/insurance certificates are collected, coordinate with job site/project managers to validate job costs and budget tracking.

Maintain project job files: contracts, change orders, insurance documents, permits, and compliance records.

Coordinate with HR: onboarding new hires, tracking timecards/PTO, assisting payroll (either directly or via payroll vendor), maintaining employee records.

Liaise with senior management and external accounting/CPA firm for reporting, audits, and financial transparency.

Generate and maintain various reports: job cost summaries, AR/AP aging, budget variance, and project status.

Support field teams: schedule meetings, track project milestones, coordinate with production teams and management to communicate issues or updates.

Drive improvements in office procedures and systems to enhance efficiency and support growth.

Qualifications and Skills:

Minimum 3 + years of office management or administrative leadership experience within the construction industry (or closely related).

Proficient with QuickBooks Online—hands-on experience managing bookkeeping, invoicing, vendor payments, reconciliations.

Strong familiarity with accounts payable/receivable processes, bank reconciliations, vendor/subcontractor management.

Solid organizational skills and attention to detail; able to balance multiple priorities in a fast-paced environment.

Excellent verbal and written communication skills; capable of engaging with field staff, vendors, senior leadership, and accounting professionals.

Proficiency in Microsoft Office (especially Excel), and comfortable with digital filing systems and basic project tracking tools.

Familiarity with construction project documentation, subcontractor compliance (insurance, lien waivers), and job cost tracking preferred.

High integrity, reliable, and able to work fairly independently with minimal supervision.

Associate or Bachelor’s degree in Business Administration, Accounting, Construction Management, or related field is a plus.
