Position Summary The Deans Office Administrative Assistant serves as the first point of contact for visitors to the Dean’ Suite and supports the smooth operations of the Luskin School of Public Affairs primarily by providing clerical support to the Executive Assistant to the Dean and Associate Deans. Under the supervision of the Assistant Dean, and with daily direction from the Executive Assistant to the Dean, major duties include: providing scheduling support; facilitating purchasing, travel and entertainment reimbursements, and funding procedures utilizing the UCLA procurement system; performing database maintenance and records management; assisting with Deans Office events and meetings. The incumbent will also assist with other general office duties as assigned. The Administrative Assistant is expected to exercise, discretion, confidentiality, diplomacy, tact, in addition to observing strictly University policies and procedures. The Deans Office Administrative Assistant is expected to accomplish daily activities as assigned and reviewed by the Executive Assistant to the Dean; provide high quality customer service; be highly organized, accurate, and punctual; meet deadlines and responsibilities while observing standard University policies and procedures. Working hours are Monday through Friday, 8:00 am to 5:00 pm with occasional evenings and weekends. Salary & Compensation *UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications 4 years Four years’ experience in a University setting performing administrative duties (Required) Interpersonal skills and cultural sensitivity to interact diplomatically and effectively with a variety of colleagues and visitors from diverse cultural and educational backgrounds. (Required) Demonstrated interpersonal skills to develop professional, cooperative working relationships with co-workers, University administrators, faculty, staff, students, and general public while professionally representing the Luskin School of Public Affairs. (Required) Must maintain regular schedule, and on-time attendance during working hours. Ability and willingness to work some evenings to assist with School events. (Required) Ability to work with frequent interruptions and changes in a busy office environment. (Required) Ability to work independently as well as part of a team. (Required) Organizational skills to prioritize varied duties effectively while maintaining a high level of productivity, accuracy, flexibility, and attention to detail. (Required) Strong oral communication skills to articulate information to individuals at various organizational levels (e.g., faculty, staff, students, and community partners.). (Required) Demonstrated writing skills that meet professional standards in order to produce routine business correspondence. (Required) Computer skills sufficient to process transactions in UCLA systems and working knowledge of Microsoft Office Suite, Google Suite, email and Zoom. (Required) Knowledge of UCLA procurement and reimbursement systems; and general knowledge of UCLA accounting procedures. (Preferred) Education, Licenses, Certifications & Personal Affiliations High School Diploma High school diploma or equivalent experience (Required) Special Conditions for Employment Background Check: Continued employment is contingent upon the completion of a satisfactory background investigation.
