The medical school’s 915 full- and part-time and 753 volunteer faculty members are involved in teaching, providing medical care, and conducting research into the health challenges facing the 21st century. The school has 26 departments, ranging from basic science research to clinical medical and surgical specialties. It has research, clinical and teaching relationships with the VA Long Beach Healthcare System and Long Beach Memorial Medical Center. Under the supervision of the School of Medicine (SOM) Dean’s Office Administrative Operations Manager, the Project Policy Analyst 2 will support administrative operations, event coordination, and policy and project management for the Dean’s Office. Manages administrative projects and scheduling responsibilities for the Administrative Programs Manager. This includes, but is not limited to, special project administration, data management, maintenance of calendars, coordination and arrangement of logistics for high-level meetings and conferences, accurate preparation of correspondence, documents and agendas for meetings, minimal coordination of travel arrangements, preparation of expense reimbursement documents, and management of a high volume of demands along with demonstrating independent judgment in identifying and resolving potential conflicts. Supports the planning, organizing, implementation, execution, and evaluation of special events, functions, academic recruitments, policy review, and high-level meetings for the School of Medicine Dean’s Office, including symposiums, conferences, program events, banquets, and VIP briefings, as well as small, non-complex events and projects. Applies professional concepts to conduct analytical studies or projects of moderate scope and complexity to address a variety of policy, research and procedural issues. Fully analyzes issues and problems, gathers data and information, finds and evaluates alternatives and makes sound recommendations. Your Role on the Team Required: Working knowledge of common organization- or research-specific and other computer application programs. Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing. Proficient in ability to use discretion and maintain all confidentiality. Demonstrates ability to use sound judgment in responding to issues and concerns. Demonstrates ability to analyze, research and synthesize large amounts of data with strong attention to detail. Proficient in ability to multi-task with demanding timeframes. Working knowledge of applicable policy analysis techniques. Knowledge of administrative operational activities such as event planning, risk management and contracts. Preferred: Knowledge of University rules and regulations, processes, protocols, and procedures.
