We are seeking a proactive and detail-oriented Administrative Assistant to provide exceptional customer service and administrative support in a legal environment. The ideal candidate will assist law partners, paralegals, and legal administrative assistants with various tasks while maintaining professionalism and ensuring the smooth operation of day-to-day activities within the firm.

Responsibilities:
Provide a professional and welcoming environment for all visitors, clients, and staff members.
Schedule meeting rooms, ensuring necessary supplies and equipment (e.g., video conferencing) are available before client meetings.
Answer all incoming calls with professionalism and in accordance with firm phone etiquette.
Participate in firm events and community service initiatives.
Perform clerical and administrative assistant duties, including document preparation, file management, and scheduling appointments.
Draft legal documents and correspondence from dictated or draft text.
Assist in managing attorney calendars and meeting deadlines.
Ensure cleanliness and organization of workspaces and firm lobby.
Order supplies, maintain the supply room, and perform light housekeeping and hospitality tasks (e.g., coffee, water, food orders).
Build relationships with clients and employees, ensuring an understanding of firm culture, key personnel, and procedures.
Serve as a concierge to guests, staff, and clients, providing information about the surrounding area and maintaining security procedures.
Perform additional duties as assigned by the Site Manager/Supervisor.

Requirements:
High school diploma required; an Associate’s or Bachelor’s degree is preferred.
A year of related business experience preferred, with a strong preference for administrative experience in a law firm or legal environment.
Proficiency in MS Office Suite (Word, Excel, PowerPoint).
Excellent customer service skills and strong attention to detail.
Ability to multitask and manage competing priorities effectively.
Strong organizational and communication skills.
A proactive attitude and willingness to assist wherever needed.
