Department Summary Strategy, Planning, and Operations leads and manages a large and complex portfolio of IT projects and programs while establishing partnerships and stakeholder engagement efforts with students, faculty, staff, and external partners on behalf of the IT organization. The Strategy, Planning, and Operations Office also manages organizational initiatives and efforts, including general administrative functions, financial management and budgeting, vendor management and licensing, billing, internal communications, department human resources, talent management, and culture development.This Administrative team within ITS oversees financial management, human resources, and office administration for the department. They collaborate with different departments to reduce IT and business process costs, follow financial best practices, and manage billing for all IT services. Additionally, they handle the day-to-day HR operations for the IT department, including recruitment, training, and performance management. They strive to create a cohesive culture within the IT organization that promotes excellent service delivery and successful external business interactions. Position Summary The Administrative Assistant will provide comprehensive administrative support for team members and leaders working onsite or remotely. The Administrative Assistant will utilize efficient systems for managing and prioritizing information, projects, calendars, and communications to ensure accurate and timely administrative maintenance. This role will support and prioritize issues according to urgency and allocate time for scheduled events, travel, and meetings. This will involve providing administrative oversight for senior leaders, including the coordination of communications and pertinent data among a group of the executive’s team’s management staff. The Administrative Assistant will handle details and oversee work of a highly confidential and critical nature to support the IT organization on matters of significance. The Administrative Assistant will positively impact UCLA’s operations and culture by enabling IT administrative operations in service of the university’s academic mission. Qualifications Experience working in one or more of the following fields: information technology, management, customer service, higher education, or a related field. (Required) Experience with office management systems and procedures. (Required) Demonstrated experience in a customer service, administrative, or project coordination role. Ability to provide proactive assistance and deliver high quality customer service in a timely manner. (Required) Experience in complex higher education environments, serving academic and administrative functions of a large public university. (Preferred) Ability to learn new systems and processes, perform special projects, and provide backup or assistance to other administrative staff as needed. (Required) Awareness of best practice administrative processes and commitment to producing timely, accurate, and high-quality work. (Required) Strong organizational skills and ability to multi-task with demanding timeframes. Ability to use sound judgment in responding to issues and concerns. (Required) Working knowledge of common organization-specific and other computer application programs. (Required) Strong written and verbal communication skills. (Preferred) Special Conditions for Employment The anticipated pay range for this position is $26.79 – $31.79 per hour; salary is dependent upon the skills and experience of the selected finalist.
