Department Summary
Housed within the Fielding School, the department of Health Policy and Management (HPM) is one of five academic units. In a dynamic, rapidly evolving healthcare landscape, HPM aims to advance the effectiveness, efficiency, and equity of health services for both personal and population health.
Position Summary
The Student Services Advisor provides academic, administrative and student support approximately 120 enrolled students in the Department of Health Policy and Management. The SSA administers admissions, coordinates financial aid and fellowships, counsels current and prospective students, liaises course scheduling and teaching loads, hosts events and curricular programs, hires student employees, serves on program committees, and assists the department with special projects.

Qualifications
Demonstrated experience in working with students of diverse backgrounds, providing the highest level of customer service to a demanding student body. (Required)
Experience counseling students, staff, and faculty on issues relating to student affairs, and developing mentorship and training opportunities for students and alumni. (Required)
Experience establishing priorities and working on a self-directed basis. Follow-through and adequate concentration for heavy workflows and various needs from students, faculty, and leadership. (Required)
Experience and tact in communicating and interpreting information and policy changes to students and guests, faculty and staff. Create/maintain positive working relationships and effective resources. (Required)
Familiarity and experience preparing, editing, and modifying documents including creative writing skills to generate effective correspondence, reports, and recommendation letters. (Required)
Experience in organizing and planning outreach for educational programs involving on and off campus constituents. (Required)
Demonstrated experience with computer software programs including but not limited to MS Word, Excel, Powerpoint, etc. as well as Outlook e-mail and online calendar systems. (Required)
Adequate mathematical experience to calculate stipends and fellowships and accurate organize and maintain financial records. Ability to analyze, develop and produce budget spreadsheets for tracking. (Required)
Working knowledge of University graduate student policy and procedures (eg: University and School admissions regulations, financial aid, degree requirements, faculty advising, etc.) (Required)
Experience implementing policies pertaining to masters and doctoral students, school-wide degree requirements, and procedures for advancing to candidacy. (Preferred)
Experience using online graduate student systems (eg: OASIS, CMS, Jasmine, SOPHAS, PAC, Graduate Division Intranet site and AIS systems such as SIS/RDS, to retrieve, track, and compile student data. (Preferred)
Skill in working as a team member with program Directors, faculty, students, staff, visitors. Skill in working independently on projects with minimal supervision, gathering and analyzing data to follow through and prepare reports to summarize findings. (Required)
Ability to establish reciprocal and productive working relationships with the Department, School, University, students, and alumni to coordinate program planning and strategic goals. (Required)
Ability to use discretion and handle confidential information sensitively and appropriately. Ability to recognize the need for consultation and/or to report problems. (Required)
Demonstrated initiative and skill in time management and resourcefulness to work efficiently in a fast-paced, deadline-driven environment with multiple priorities and frequent interruptions. (Required)
Ability to analyze and interpret large amounts of data with strong attention to detail, and skills to organize and maintain student and departmental files and communications. (Required)
Knowledge of and ability initiate paperwork and draft forms and letters for University, School and departmental fellowships, scholarships and financial aid. (Required)
Skill in development and management of multiple databases. Demonstrated skill in documentation of information and financial and student-related procedures. (Required)
Ability to utilize and troubleshoot computer hardware, software, and equipment related to student orientation, faculty meetings, academic reviews, admissions, and student dissertations. (Required)
Ability to interpret student records, e.g. transcripts, degree progress, application materials, etc. Ability to analyze transcript information and national aptitude test scores to counsel prospective applicants regarding possibility of admission. (Preferred)
Skill in instructing students on financial aid policies and procedures, Bruin Learn, Bruin-Online, BruinBuy, BAR, URSA, and the UCLA Library System. (Preferred)
Knowledge of university policies and procedures pertaining to training grants and extramural fellowships. (Preferred)
Knowledge and coordination of course and faculty evaluation process by students. (Preferred)
Education, Licenses, Certifications & Personal Affiliations
Bachelor’s Degree in related area and/or equivalent combination of education and experience/training (Required)
