Position Summary

The Administrative Specialist is the primary payroll processor for non-academic personnel in the Dean’s Office at the Samueli School of Engineering–which has a head count of about 175 full-time professional staff members–and they provide broad support to the human resource and finance team. A key responsibility is to become an expert in using the enterprise payroll system, UCPath. Additional major responsibilities: Coordinate onboarding and off-boarding of professional staff and student employees. Respond to requests for changes to appointments. Advise supervisors and employees regarding payroll processes. Monitor departmental payroll activity and take action errors and anomalies. Lastly, the specialist processes a variety of personnel and financial transactions and service requests. Incumbents are well positioned for future growth opportunities by mastering key foundational aspects of UCLA department administration from the vantage point of the Dean’s Office.

Salary & Compensation

Qualifications

  • Skill at using–and learning to use–modern complex business applications/software to accomplish human resource and financial tasks. Familiar with a variety of software systems and the underlying logic and data structures on which they are based. (Required)
  • Able to notice and recall small details and consistently ensure they are reflected accurately in work products. (Required)
  • Able to perform moderately complex mathematical operations. (Required)
  • Skilled at using spreadsheet software to organize and summarize quantitative and categorical information. (Required)
  • Skilled at providing high-quality customer service experiences. (Required)
  • Knowledge of the major aspects of labor regulations, payroll processes, and accounting principles. (Preferred)
  • Able to operate complex payroll and finance systems effectively and efficiently. (Preferred)
  • Skilled in communicating effectively with others in verbal, non-verbal, written, visual, and listening modes and in both formal and informal situations. (Required)
  • Skilled at building and maintaining strong professional relationships with colleagues. (Required)
  • Able to demonstrate integrity and build trust in all aspects of professional life. (Required)
