Your stellar organizational abilities and keen attention to detail will enable you to successfully plan and execute a wide variety of events and manage all associated event logistics and follow-up. In addition to event management, you will have responsibility for the overall management of the James West Alumni Center building and supervision of the student staff, CARE Team. Salary & Compensation *UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications A minimum of five years of professional event management experience. (Required) Experience creating, managing and tracking event budgets to include knowledge of university budget and purchasing procedures is important. (Required) Experience with and working knowledge of all logistical support elements of special events and event production including experience working directly with vendors, preferably in a development, non-profit, or university environment. (Required) Demonstrated skill in and/or ability to develop and implement event logistics as defined by colleagues and/or management. (Required) Ability to handle external constituents with tact and diplomacy, especially when engaged in fast-paced and often evolving situations. (Required) Working knowledge of event policies, protocols and procedures preferably in a university and/or non-profit setting. (Required) Creative and resourceful with ability successfully identify and resolve potential and real problems in a timely manner using tact, sensitivity, discretion and political acumen during the event planning, execution closeout processes. (Required) Demonstrated skills at negotiating and exchanging ideas and information with various stakeholders to formulate and implement procedures, programs and goals; ability to analyze complex programmatic problems and situations and quickly determine viable alternatives. (Required) Ability to comprehend and organize materials and to identify potentially more effective methods of operation and to explain procedures and reasoning in a concise, logical, thorough and practical manner. Skill in speaking effectively and persuasively to individuals and groups. (Required) Strong interpersonal skills and ability to build cooperative, effective relationships with staff, administration, faculty, volunteers, donors, vendors and external constituencies; demonstrated ability to conduct and facilitate meetings. (Required) Outstanding writing and editing skills to effectively communicate to a variety of audiences. Experience creating event proposals, invitations and other event related materials. (Required) Highly organized and detail oriented with strong time/ project management skills; ability to work equally well independently and as part of a team; able to work on several tasks simultaneously and effectively manage multiple priorities/deadlines under minimal supervision in a complex environment. (Required) Demonstrated proficiency with Microsoft Office suite and Adobe suite of applications and other software as appropriate; ability to learn new technologies in a prompt and efficient manner. (Required) Knowledge of rules and regulations of the police and fire departments, U.S. Postal Service and Alcoholic Beverage Control department in relation to event planning . (Preferred) Education, Licenses, Certifications & Personal Affiliations Bachelor’s Degree (Preferred) Special Conditions for Employment Background Check: Continued employment is contingent upon the completion of a satisfactory background investigation. Ability to lift and/or move boxes and/or equipment up to 35 lbs. (Required) Ability to travel to off-site vendors and attend events during regular business hours, evenings and weekends in an efficient manner; sometimes with little advanced notice.
