Job Summary

The Medical Assistant at the California Institute of Technology’s Student Wellness Services plays a vital role in supporting the delivery of high-quality healthcare to students at the Health Center. The Medical Assistant is responsible for clinical and administrative tasks, ensuring that the clinic operates efficiently and that students receive compassionate, timely care. The ideal candidate will be detail-oriented, a team player, and committed to providing excellent service in a dynamic college health environment.

This is an Essential Reporting position. In the event of an emergency on campus, an employee designated as essential reporting has essential job skills that are needed for response and recovery and is expected to report to Campus as soon as possible.

Essential Job Duties

Clinical Support:

  • Assist healthcare providers (physicians, nurse practitioners, etc.) with patient care during appointments, including obtaining vital signs, medical history, and assisting with procedures.
  • Prepare exam rooms before and after visits, ensuring cleanliness and stocking of necessary medical supplies.
  • Perform basic laboratory tests (e.g., urine tests, rapid strep tests) and assist with the collection of specimens for lab processing.
  • Administer medications and vaccines as ordered by healthcare providers.
  • Perform procedures ordered by healthcare providers which could include EKGs, ear lavages, or dressing changes.
  • Assist with phlebotomy and injections as indicated.
  • Provide patient education on health topics, medication instructions, and follow-up care as directed by healthcare providers.
  • Maintain accurate and timely documentation in the electronic medical record (EMR).

Administrative Tasks:

  • Schedule appointments and manage the clinic’s calendar.
  • Answer phones, respond to patient inquiries, and triage messages.
  • Process prescription refill requests and prior authorizations in coordination with providers.
  • Assist in maintaining medical supplies inventory and replenishment protocols in the clinic.
  • Ensure compliance with all clinic policies, procedures, and safety regulations.

Student Support:

  • Serve as the first point of contact for students seeking healthcare services, providing compassionate and patient-centered care.
  • Guide students in navigating the clinic’s services, including referrals to specialists and community resources.
  • Support the Health Entrance Process by assisting with the collection and processing of required student health documentation.

Collaboration and Teamwork:

  • Work collaboratively with the clinic’s interdisciplinary team, including providers, additional medical assistants, administrative staff, and other healthcare professionals.
  • Participate in clinic meetings and contribute to quality improvement initiatives.
  • Assist with student outreach events as needed (e.g., health fairs, resource tabling).

Basic Qualifications

Education:

  • Completion of an accredited Medical Assistant program

Certification/License:

  • Current BLS/CPR
  • Phlebotomy certification or experience

Experience:

  • Two years’ experience as a medical assistant required.
  • Experience with electronic medical records (EMR) systems (e.g., EPIC, Point and Click) is required.

Skills:

  • Excellent communication and interpersonal skills, with the ability to work with diverse student populations.
  • Strong organizational skills and attention to detail.
  • Ability to multi-task and prioritize in a fast-paced environment.
  • Proficiency with computer systems and medical software.

Working Conditions:

  • Must be able to stand, walk, and sit for extended periods and perform job duties including taking vitals, ear lavage, EKGs, and phlebotomy.
  • Ability to work in a fast-paced environment and respond to emergency situations.
  • Some evening or weekend hours may be required based on the clinic’s needs.

Preferred Qualifications

  • High School Diploma or equivalent.
  • Current Medical Assistant certification (CMA, RMA, or equivalent) is preferred.
  • Previous experience in primary care or college health setting is preferred.
