Position Summary Under the general supervision of the General Clinic Director, the Patient Services Supervisor oversees the daily operation of the New Patient Screening Clinic, patient appointments and patient registration process. Assessing workload and patient flow, while analyzing inefficient systems and arriving at innovative, workable solutions. The Incumbent will develop, implement, and maintain a patient assignment system, matching patients with Group Practice Directors (GPD) and dental students. As Patient Services Supervisor, with faculty GPD, will monitor and manage all patient records. The incumbent generates reports for faculty detailing which patients are assigned to dental students over a month; monthly reports are also generated detailing in-take clinic patient productivity (e.g., how many cancellations, how many appointments, etc.). The Patient Services Supervisor supervises Clinic Assistants and Ambulatory Care Admin Coordinators. Additional duties include coordinating patient/student services with Group Practice Administrators (GPA) and other dental school support services and specialty clinics (e.g. radiology, billing, etc.); manages urgent care/emergency student block; resolves patient complaints; axiUm registration process for incoming students, and back-up supervisor for other general clinic area supervisors. The incumbent will also be a member of the audit team that reviews patient charts and identifies students who are not compliant with record keeping. Salary & Compensation *UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications Experience managing a dental or medical practice. Previous Supervisory experience will be necessary. (Required) Demonstrated skill in managing a dental practice and/or as a dental office administrator in a practice. (Preferred) Demonstrated skill in time management while working independently and as a productive team member in all work assignments, activities and projects. (Required) Demonstrated Strong interpersonal skills and ability to maintain a positive attitude and cooperative working relationship with staff, faculty, students and patients at all times. Persistence in a professional, courteous, and tactful manner as required. Demonstrated ability to work well with individuals from diverse cultures and backgrounds. (Required) Ability to match treatment needs of patients with student educational requirements. (Required) Demonstrated skill in supervision and leading a team, managing responsibilities by determining priorities, delegating responsibilities and resolving conflicts using sound judgment skills in decision making. (Required) Demonstrated English written and oral communications skills to compose grammatically correct correspondence. Writing, preparing and presenting Excel spreadsheets, graphs, power point-based lectures to students, staff and faculty. (Required) Proficiency in Microsoft Office Suite: MS Word, Excel, PowerPoint, and Outlook and web access technology. (Required) Skill in implementing a system for inputting and retrieving computerized data. (Required) Demonstrated organizational skills to analyze information, prioritize assignments by importance and timeliness and ability to plan ahead in order to prevent problems and to optimize efficiency and effectiveness without duplication of effort. (Required) Demonstrated knowledge of dental terminology, diagnostic and treatment dental codes necessary for dental insurance billing, tracking and/or generating reports. (Required) Skill in analyzing and compiling data into interpretive and summary reports on a monthly or as needed basis. (Required) Working knowledge of meeting with union members and representatives. (Preferred) Education, Licenses, Certifications & Personal Affiliations Bachelor’s Degree Bachelor’s degree in related area and / or equivalent experience / training (Preferred) Licensed Registered Dental Assistant.
