Role Overview

We are seeking a professional and welcoming Receptionist to serve as the first point of contact for clients and guests at a high-profile Conference Center. This role is ideal for someone with a strong background in hospitality or administrative support who thrives in a fast-paced, client-facing environment. Please note: No visa sponsorship is available for this position. Only candidates with valid work authorization in the United States will be considered.

Responsibilities

Greet and welcome all clients and guests upon arrival, providing a warm and professional first impression.
Escort visitors to designated meeting rooms, offering coat room and bag check services to enhance their experience.
Anticipate and respond to guest needs throughout the day to ensure a seamless and pleasant visit.
Collaborate with internal and external service teams (catering, security, AV, events, facilities) to support smooth event execution.
Utilize the EMS reservation system to monitor and manage meeting schedules and expectations.
Perform administrative duties including updating reservations, answering phones, taking messages, logging packages, and maintaining supply inventory.
Support event planners with light data entry and coordination tasks.
Maintain cleanliness and organization of the business center and common areas.
Demonstrate flexibility by working early mornings or late evenings as needed for event coverage.
Stay informed about meeting room capabilities and catering options to assist clients effectively.
Build familiarity with frequent users and guests to provide personalized service.

Requirements

Minimum of 2 years of experience in an administrative or hospitality role.
Strong customer service orientation with excellent interpersonal and communication skills.
Ability to multitask and remain composed in a dynamic, client-facing environment.
Proficiency in basic office software and comfort learning new systems (e.g., EMS reservation system).
Professional demeanor and appearance.
Flexibility to work varied hours based on event schedules.
Must have valid work authorization in the United States; no visa sponsorship is offered.
