Executive Assistant – Temporary

We are searching for an Executive Assistant to add coverage for an employee going out on maternity leave.

This position will be a main point of contact for communication, scheduling, travel, and expenses, answering phones and emails, event coordination, and general day-to-day organization for several Principals and office events.

In addition to the responsibilities below, it’s important to note that there are two main projects that will need attention during this time. Licensure renewals for some of our employees and the company holiday party.

Responsibilities:

  • Maintaining calendar for Principals as needed
  • Managing and scheduling appointments and meetings
  • Coordinating travel arrangements and expense reports
  • Creating and updating documentation as needed

• Organizing files and programs appropriately

• Prioritizing and responding to emails and completing tasks in a timely manner

• Answering phone calls as needed

• Working on ad hoc projects and event coordination as assigned

• Maintaining comprehensive and accurate records and contacts

• Providing in office support for meetings and events

• Performing general administrative support as needed

• Attend Monday morning staffing meetings.

• Providing coverage support for team members as needed including but not limited to reception

QUALIFICATIONS:

• 3+ years supporting multiple senior executives

• Strong written and verbal communication skills and experience working with executives and clients

• Ability to effectively multi-task, and complete assignments in a timely manner

• Superior organizational skills
