Position Title: Executive Assistant (Part-Time, Hybrid)
Location: Chicago, IL (Hybrid)
Duration: 6 Months
Pay Range: $17–$24/hour (Depending on Experience)
About the Role:
We’re seeking a highly organized and proactive Executive Assistant/Office Administrator for our client in the higher education sector. This role supports senior leadership, including two VPs in a dynamic and collaborative academic environment. The position is part-time and hybrid, offering an opportunity to work closely with executives.
Key Responsibilities:
Executive Support (70%)
Manage complex calendars for multiple executive leaders, prioritizing and coordinating meetings, travel, and daily schedules.
Provide administrative support, including preparation of confidential correspondence and general office duties.
Coordinate travel arrangements and event logistics as needed.
Project & Event Coordination (15%)
Manage special projects and assist in organizing meetings, conferences, and events.
Backup Administrative Support (10%)
Serve as a backup to the Executive Assistant to the VP and provide indirect support to other key staff.
Office Administration (5%)
Handle inventory, process expense reports, and occasionally assist with on-campus deliveries.
Greet guests and manage email and phone communications.
Qualifications:
Education & Experience:
Bachelor’s degree and at least 2 years of progressive administrative experience, or
Minimum of 5 years of progressive administrative experience without a degree.
Technical Skills:
Proficiency in Microsoft Outlook, Word, PowerPoint, Excel, and Zoom required.
Familiarity with Adobe Acrobat and database systems preferred.
Preferred Background:
Experience within central administration or a complex academic environment is a plus.
