Position Summary
We are seeking a detail-oriented and reliable Accounts Payable Specialist to join our Finance team. This role is responsible for performing general accounting duties with a strong focus on processing accounts payable and preparing related reports. The ideal candidate will ensure accuracy, completeness, and compliance with generally accepted accounting principles (GAAP), funding sources, regulations, contracts, and internal procedures.
Essential Functions & Responsibilities:
Accounts Payable Management
Full charge of A/P operations including vendor setup, invoice processing, and disbursements.
Review and code expenses, match supporting documents, and reconcile vendor statements.
Maintain master vendor files including W9 forms and contracts.
Resolve vendor inquiries and disputes professionally and promptly.
Reconcile A/P accounts with aging reports and maintain monthly accrual schedules.
Prepare and file 1099s and 1096s accurately and on time.
General Accounting Duties
Coordinate manual payroll check printing with HR and maintain logs.
Reconcile general ledger accounts including prepaid expenses, payables, and accruals.
Prepare financial reports for clinic managers and staff.
Assist in audit preparation and documentation.
Process and reconcile credit card statements using Concur; resolve outstanding issues.
Reporting & Analysis
Review expense accounts before releasing monthly financial statements.
Generate vendor trend reports and maintain expense analysis.
Prepare shared expense allocations per policy and program requirements.
Analyze intercompany accounts across divisions and entities.
Cash Management & Compliance
Support agency cash flow management to meet operational needs.
Ensure compliance with all regulatory, contractual, and funding requirements.
Maintain records in accordance with internal policies and legal standards.
Communication & Collaboration
Foster effective communication within and outside the clinic.
Build and maintain positive relationships with staff, vendors, and external agencies.
Represent the Finance/Accounting department professionally and courteously.
Qualifications
Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
Minimum 5 years of experience in accounts payable or general accounting.
Strong understanding of GAAP and regulatory compliance.
Proficiency in accounting software and Microsoft Office Suite.
Excellent organizational, analytical, and communication skills.
Ability to work independently and collaboratively in a fast-paced environment.
