The Support Services Supervisor oversees daily operations of multiple administrative service areas, including mailroom, reception, cashiering, document scanning, and secondary billing. This role ensures timely service delivery, compliance with policies, staff supervision, and continuous process improvement across diverse operational functions.
Key responsibilities include:
- Direct mailroom, scanning, and reception functions; manage secondary billing workflows and compliance with HIPAA and billing regulations.
- Oversee cashiering operations, ensure PCI compliance, reconcile deposits, and coordinate with Finance and vendors on payment validations.
- Hire, train, coach, and evaluate staff; develop training guides, job aids, and maintain high engagement and performance standards.
- Lead operational projects, implement workflow enhancements, and monitor performance outcomes.
- Track expenses, manage budgets, and support procurement and business continuity planning.
Salary Range: $86,400 – $184,800/annually
Qualifications
We’re seeking a detail-oriented, self-motivated leader with:
- Bachelor’s degree in business, health administration, or related area and/or equivalent experience/training.
- Possesses 5 or more years of progressive experience in multi-unit administrative operations – REQUIRED
- Possesses 3 or more years of experience supervising clerical or administrative support staff – REQURED
- Demonstrates strong knowledge of HIPAA, PCI compliance, and medical billing workflows.
- Proficient in financial reconciliation and cashiering procedures.
- Skilled in analyzing and improving operational processes.
- Familiar with Microsoft Office Suite and systems such as CareConnect, CashNet, and Smart Source.
- Demonstrates strong written and verbal communication abilities.
- Skilled in performance coaching, training, and mentoring staff.
- Maintains professionalism and confidentiality in handling sensitive data.
- Excels at multitasking in a high-volume, deadline-driven environment.
- Applies critical thinking and sound judgment in problem resolution.
- Builds effective cross-functional relationships with departments and vendors.
- Exhibits strong organizational skills and attention to detail.
- Able to develop SOPs, training documents, and compliance audits.
