Department Summary UCLA Travel Accounting manages and processes all University related travel and entertainment expenses, including travel and entertainment (TE) invoices and reimbursements for faculty, staff, and students for official University business travel while ensuring expenditures adhere to UC and UCLA?s travel and entertainment policies and guidelines. Position Summary The Travel Card Administrator is primarily responsible for (1) reconciling and processing direct bill travel payments to department ledgers, (2) assisting the desk consultant for ledger queries regarding travel transactions, (3) managing the Travel and Entertainment Card Program, (4) and creating and maintaining reports for direct bill transactions. On a daily basis, the incumbent can expect to process payments for airline tickets issued through UCLA’s direct bill system and reconcile any voids, refunds and exchanges. The incumbent will create reports from QDB and the financial institution utilized by UCLA’s Travel Accounting Office to reconcile payments through the direct billing system while providing excellent customer service to the campus community and respond to a high volume of queries through travel’s customer service online portal, phone, and email. The Travel Card Administrator will process travel reimbursements through the Express system and provide accurate and concise information when responding to the Traveler’s and Proxy’s. Salary & Compensation *UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Salary offers at the top of the range are not common. Qualifications Demonstrate knowledge of general accounting principles. (Required) Ability to obtain and convey information and explain policies and procedures in person and in the written form. (Required) Skill in working as part of and contributing to a team. (Required) Ability to work accurately with numbers, a heavy volume of transactions, and a great amount of detail. (Required) Demonstrate working knowledge of the University’s accounting system, intercampus procedures, and travel policies and procedures. (Preferred) Education, Licenses, Certifications & Personal Affiliations Bachelor’s Degree in related area and / or equivalent combination of education and experience / training.
