International law firm that specializes in international business law is looking for a litigation secretary on a temporary to hire basis: Key Responsibilities · Litigation Support: Assist three (3) attorneys with all phases of litigation, including drafting, formatting, and filing legal documents such as pleadings, motions, and discovery materials. · Calendaring: Manage complex attorney schedules, including court appearances, depositions, hearings, and deadlines, ensuring accurate and timely calendar updates. · Legal Desk Management: Oversee the administrative operations of a legal desk, including document management, case file organization, and drafting routine correspondence. · Attorney Support: Provide comprehensive administrative support to three (3) attorneys, including assisting with preparations for trials, hearings and depositions, scheduling meetings, coordinating travel, and handling client communications. · Document Preparation: Prepare, proofread, and finalize legal documents, ensuring compliance with court rules and firm standards, including the ability to mark and generate tables of contents and tables of authorities. · Client Interaction: Serve as a point of contact for clients, maintaining professionalism and confidentiality in all communications. · Case Management: Track case progress, maintain case files, and ensure all deadlines are met in accordance with court and firm requirements. · Technology Proficiency: Utilize legal software (e.g., case management systems, e-filing platforms) and Microsoft Office Suite to streamline workflows. · E-Filing: Handle electronic filing of legal documents with state and federal courts, ensuring compliance with specific court requirements and deadlines. Required Qualifications Experience: Minimum of five (5) years of recent experience as a litigation secretary or in a similar legal administrative role, with a strong focus on litigation, calendaring, and e-filing with state and federal courts. Skills: o Proven ability to manage a legal desk and support multiple attorneys simultaneously. o Exceptional organizational and time-management skills, including the ability to efficiently work undertight deadlines and manage multiple priorities. o Strong written and verbal communication skills, with strong attention to detail. o Strong proficiency in legal software and applications (e.g., iManage, Clio, Litera, PACER, ECF or similar), e-filing platforms, and Microsoft Office Suite (Word, Excel, Outlook) and Adobe Acrobat Pro. o Strong understanding of legal terminology and state and federal court processes, including e-filing, court rules, forms, calendaring, pleadings, and discovery procedures. o Successful completion of background check and professional references are required.
