- We are seeking a detail-oriented and motivated Onboarding Assistant to support our U.S. Talent Acquisition team. In this role, you will help manage the onboarding cycle for new hires—from offer acceptance through their first day of employment. You will work closely with recruiters, candidates, and leaders across the organization to deliver a seamless, professional, and positive onboarding experience that reflects our brand values.

- Key Responsibilities
- Deliver an excellent candidate and business leader experience throughout the recruitment and onboarding process.
- Serve as the primary point of contact for new hires, ensuring all pre-employment requirements are completed.
- Monitor pre-employment screenings for finalist candidates.
- Build effective working relationships with key partners, including HR, compliance, legal, relocation, and immigration teams.
- Act as liaison to the Discover New Employee Orientation Program.
- Manage interview suites to ensure they reflect the company’s professional image.
- Track candidate progress within the applicant tracking system (Workday).
- Oversee background check and screening processes in Sterling/First Advantage.
- Proactively recommend improvements to onboarding processes.
- Monitor candidate travel and expense processes for compliance with guidelines.
- Escalate complex talent acquisition issues to the GTA Lead when necessary.

- Qualifications
- Talent acquisition and onboarding experience.
- Proficiency with Applicant Tracking Systems.
- Experience with background screening and the I-9 verification process.
- Strong skills in Microsoft Word, Excel, PowerPoint, and Outlook.
- Excellent written and verbal communication abilities.
- Strong customer service orientation and relationship-building skills.
- Demonstrated problem-solving, conflict resolution, and decision-making skills.
- Ability to work independently with limited supervision while knowing when to escalate issues.
- Professionalism, confidentiality, and adaptability in a fast-paced environment.
