Key Responsibilities
Bookkeeping & Financial Management
Handle A/P, A/R, general ledger entries, and bank reconciliations
Process payroll and ensure compliance with labor and tax regulations
Track job costs, change orders, and project budgets
Assist project managers with cost coding and reporting
Prepare and issue client invoices; manage collections
Maintain vendor/subcontractor records, contracts, COIs, lien releases, and W-9s
Generate monthly and quarterly financial reports (e.g., cash flow, P&L, overhead)
Office Administration
Order supplies and manage both electronic and physical filing systems
Schedule meetings and handle phone/email correspondence
Ensure compliance with insurance, licensing, and safety regulations
Liaise with internal teams, vendors, and project managers to ensure timely documentation
Maintain accurate records and ensure data integrity across systems
HR & Operational Support
Assist with onboarding/offboarding and benefits administration
Track employee timecards and support general HR functions
Help prepare for audits and maintain audit-ready documentation
Contribute to budgeting and forecasting efforts
