Position Overview:

The Receptionist/Administrative Assistant will serve as the first point of contact for clients and visitors, manage incoming calls, and provide administrative and customer service support to the operations and accounting teams. This position requires strong communication skills, proficiency in Microsoft Office and Google applications, and the ability to work independently with minimal supervision.

Key Responsibilities:

Operates a multi-line telephone system and assists clients with inquiries.

Schedules appointments for sales, installation, and service calls.

Provides basic troubleshooting assistance to customers.

Supports billing, collections, and bookkeeping functions.

Reviews and prepares forms, correspondence, and documentation.

Maintains and organizes office records, logs, and filing systems.

Orders supplies and ensures office equipment is maintained.

Sorts and distributes incoming mail and manages outgoing correspondence.

Qualifications:

Minimum of one year of experience as a Receptionist or Administrative Assistant.

Bilingual in Mandarin or Spanish highly preferred.

Excellent written and verbal communication skills.

Proficiency in Microsoft Word, Excel, Google Calendar, and Gmail.

Strong customer service skills and attention to detail.

Ability to manage multiple tasks efficiently and maintain confidentiality.

Must be able to lift up to 25 lbs.

Requirements:

High school diploma or GED.

Valid driver’s license and clean driving record.

Must successfully pass background and drug screening.
