About the Role:
We are seeking a highly organized, proactive, and discreet Executive Assistant to provide high-level, comprehensive administrative and operational support to two Tax Partners. This critical role acts as the central hub for our tax practice, requiring exceptional attention to detail, strong financial acumen, and the ability to manage complex, shifting priorities under tight deadlines. If you thrive on being the essential “gatekeeper” and project manager for high-stakes client matters, we want to hear from you.

What You’ll Do:

Financial Oversight: Track, monitor, and prepare detailed budget vs. actuals reports for agency clients using Microsoft Excel, ensuring timely financial closures and reporting.

Partner Management: Serve as the primary point of contact and gatekeeper for two Tax Partners, proactively managing complex scheduling, correspondence, bi-weekly agency calls, and preparing all necessary call materials.

Client Communication & Compliance: Assist with managing time-sensitive client tax notices, drafting and coordinating response documents, and handling phone communication with state agencies.

Project & Task Management: Implement and maintain proactive reminder systems for key deadlines (tax filings, open tasks) and support various special projects (e.g., drafting agreements, research, summarizing financial documents).

Administrative Hub: Manage incoming communications (mail and partner correspondence), ensuring rapid and accurate distribution or resolution.

What You’ll Bring:

3-4 years of high-level administrative support experience, preferably within a tax or accounting firm.

Expert proficiency in the Microsoft Office Suite (especially Excel for financial reporting).

Exceptional organizational skills, attention to detail, and proven ability to multitask and manage shifting priorities.

Outstanding written and verbal communication skills.

A self-starter mentality and proven discretion when handling highly confidential information.

Bonus: Knowledge of basic tax or accounting principles is a strong plus!
