Job Title: Administrative & Bookkeeping Assistant
Pay Rate: $21.00 – $23 per hour
Employment Type: Full-Time (Temp to Hire)
In Office Hours: 8:00 AM – 5:00 PM
Location: Woodland Hills, CA

Seeking a reliable, professional, and personable Receptionist who can also support administrative and bookkeeping functions.
This role is essential in maintaining a welcoming and organized Front office environment while assisting with financial and operational tasks.
The ideal candidate will possess strong communication skills, excellent common sense, and the ability to work independently without constant supervision.

The office environment is beautiful, with a high-rise view, and offers the opportunity to grow into a long-term administrative and bookkeeping assistant role.

Key Responsibilities:
Answer and direct incoming phone calls in a courteous and professional manner
Greet and assist clients, visitors, and vendors
Maintain cleanliness and organization of the front office and reception area
Present information clearly and confidently to high-level clients when needed
Receive, sort, and distribute incoming mail; prepare and send outgoing mail/packages
Take clear, accurate notes during meetings or client interactions
Maintain office supplies and notify management when restocking is needed
Schedule appointments and manage calendars
Perform basic administrative tasks such as filing, scanning, and data entry
Support other departments with clerical tasks as needed
Bookkeeping support including QuickBooks data entry, invoice processing, and payment remittance
Assist with troubleshooting online account access issues and proactively attempt solutions before escalating

Qualifications:
High school diploma or equivalent
Previous experience in a receptionist, administrative, or bookkeeping role preferred
Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Experience with QuickBooks required
Excellent verbal and written communication skills
Strong interpersonal skills and professional demeanor
Ability to multitask and stay organized in a fast-paced environment
Dependable, punctual, and detail-oriented

Comfortable interacting with executives and high-profile clients
