Job Description: Facilities Coordinator
Contract Duration: January 2026 – June 2026
Pay Rate: $30/hour
Position Type: Contract (Possibility for extension or temp-to-hire)
Work Hours/Shift: Monday- Friday, 7-4 PM or 8-5 PM (Must be flexible to work late or be available for on-call emergencies)
The Facilities Coordinator ensures the effective execution of all maintenance work control processes. This role is responsible for planning and scheduling daily and after-hours maintenance activities, coordinating subcontracted services, procuring necessary parts, and following up to ensure customer satisfaction with all work order requirements.
Key Activities and Responsibilities
Manage incoming service request calls.
Create work orders, schedule tasks, and dispatch maintenance staff for preventive and corrective work.
Track work requests and ensure resolution within designated timeframes.
Ensure CMMS work orders contain complete and accurate information, including documentation of labor, materials, and methods used; close work orders upon completion.
Administer subcontractor agreements, create purchase orders, order parts and supplies, and track delivery status and scheduling.
Coordinate subcontractor preventive and corrective maintenance activities with in-house staff; manage building access and verify vendor time and charges.
Support warranty management processes by preparing paperwork and facilitating return of manufacturer warranty parts.
Assist in compiling reports and updating databases as needed.
Enforce all company safety and risk management policies; report accidents and unsafe conditions promptly and ensure corrective actions.
Attend designated training programs (classroom and virtual).
Perform additional duties as assigned.
Required Experience
High School diploma, GED, or equivalent experience.
Four-year degree in engineering, construction management, or business management (preferred).
Service contracting experience.
Scheduling experience.
Facility management experience.
CMMS experience.
Background in commercial facilities management.
Experience completing records and reports related to building facilities and preventive maintenance programs.

Proficiency in Procore, Smartsheet, and Microsoft Office (Word, Excel, PowerPoint, Outlook); willingness to learn new CMMS systems.
Excellent attention to detail.
Strong time management and organizational skills, with the ability to prioritize effectively.
Excellent oral and written communication skills in English.
Ability to work independently and as part of a team.
Ability to pass a background check and subject interview.
Valid driver’s license required.
Spanish proficiency (preferred).
