Staffing Operations Coordinator
Location: Downey, CA (Onsite)

We’re seeking a charismatic, detail driven Staffing Operations Coordinator to power our branch operations and deliver exceptional service to candidates and clients. You’ll be the hub for daily communications, screening and qualifying talent, processing payroll under strict deadlines, and supporting sales and leadership. This role is perfect for someone eager to learn about the staffing industry with a clear path to recruiting and client development.

Key Responsibilities

  • Front line support: Answer incoming calls and triage inquiries with professionalism and warmth.
  • Candidate intake: Qualify candidates, screen resumes, and schedule interviews; maintain accurate ATS notes.
  • Payroll & reporting: Process weekly payroll on tight timelines; compile and distribute weekly branch reports.
  • Sourcing: Actively source resumes using job boards, social platforms, AI tools, and internal databases.
  • Sales support: Partner with the sales team on candidate submittals, job order updates, and client follow up.
  • Administrative support: Assist the Branch Manager with calendars, document prep, and branch projects.
  • Onboarding & compliance: Process I 9s, background checks, drug screens, and onboarding paperwork; monitor updates on staffing related legal matters and maintain compliant files.
  • Systems & tools: Work daily in Microsoft Teams, Outlook, Excel, Word, and our ATS/CRM; multi task across platforms throughout the day.

What Makes You a Great Fit
Stable work history with progressive responsibility in operations, HR, staffing, customer service, or payroll. Outgoing, charismatic communicator—confident with phone and written communication. Highly computer literate: Daily proficiency in Microsoft Teams and MS Office (Outlook, Word, Excel); comfortable learning new systems quickly. AI savvy: Experience leveraging AI sources (e.g., drafting outreach, summarizing resumes, organizing notes) to boost productivity. Exceptional time management: Thrives in a deadline driven environment; balances independent work and team collaboration. Strong note taker & multi multitasker: Precise documentation in ATS/CRM; able to jump between platforms without losing accuracy.

  • Fast learner: Curious, resourceful, and coachable—motivated to master staffing operations.
  • Experience in staffing, HR operations, payroll processing, or recruiting coordination.
  • Familiarity with I 9 compliance, background/drug screening workflows, and onboarding best practices.
  • Prior use of ATS/CRM systems (e.g., Bullhorn, Avionté, JobDiva, Salesforce).
  • Bilingual (English/Spanish) is a plus.
