The Patient Service Representative (PSR) in Immediate Care serves as the frontline ambassador for UCLA Health, supporting patients in a fast-paced, high-volume clinical environment. This role is critical to ensuring efficient patient flow, accurate registration, and a positive patient experience for individuals seeking same-day and urgent medical care. The PSR works closely with clinical and operational teams to support timely access, safety, and exceptional service.

Main duties include but are not limited to:

  • Greeting and assisting patients presenting for Immediate Care services with professionalism, empathy, and urgency
  • Performing rapid and accurate patient check-in and check-out, including real-time registration and demographic verification
  • Verifying insurance eligibility, benefits, and authorizations for same-day visits
  • Managing high-volume patient flow, balancing walk-in arrivals, scheduled visits, and urgent presentations
  • Collecting co-pays and outstanding balances in accordance with UCLA Health policies
  • Triaging front-desk needs by identifying patients requiring immediate clinical attention and promptly alerting clinical staff
  • Answering phones, manage electronic messages, and provide clear instructions regarding clinic services, wait times, and next steps
  • Coordinating referrals, imaging orders, and follow-up appointments as directed
  • Accurately documenting patient interactions and updates in the electronic health record (EHR)
  • Maintaining patient privacy and confidentiality in compliance with HIPAA and regulatory standards
  • Supporting clinic operations by flexing across front-desk functions as needed
  • Escalating patient concerns, workflow barriers, or safety issues appropriately

Pay Range: $30.36 – $43.49

    Qualifications

    Required Qualifications:

    • Skill in setting priorities which accurately reflect the relative importance of job responsibilities

    • Ability to establish and maintain and productive working relationships with Faculty, Staff, Administration and patients from various social, cultural and economic backgrounds.
    • Ability to creatively integrate competing demands into a productive working environment.
    • Skill in verbal communications to clearly convey complex problems in both formal and informal situations.
    • Ability to interact diplomatically and sympathetically with a patient population in varying degrees of health
    • Ability to provide coverage for Community Clinics as assigned.

    Preferred Qualifications:

    • Previous experience in Immediate Care, Urgent Care, Emergency Department, or ambulatory care settings
    • Experience with Epic or similar electronic health record systems
    • Knowledge of medical terminology, insurance verification, and referral workflows
    • Bilingual skills (preferred but not required)
    • Knowledge of specific specialty practice and workflow

    • Working knowledge of patient related policies and procedures as well as a thorough understanding of the University system and it services and programs.
    • Knowledge of hospital computer system, and personal computer systems and the various software products to perform administrative work.
    • Familiarity and knowledge of authorization process & managed care programs
