Description
The Talent Acquisition (TA) Operations Coordinator is an entry-level professional responsible for supporting the recruitment process by managing logistics, maintaining systems, and ensuring a seamless experience for candidates, recruiters (Talent Acquisition Partners), and hiring managers. This role works under close supervision, following well-defined processes to ensure the smooth execution of recruitment activities. The Coordinator is essential in ensuring the smooth execution of day-to-day TA activities and delivering an exceptional candidate experience.

- Support Recruitment Operations
Review job descriptions for accuracy and post in internal and external job boards, ensuring consistency and compliance.
Coordinate the recruitment activities, including scheduling interviews (virtual and in-person), managing calendars, and ensuring timely communication with candidates.
Maintain proper documentation for audit purposes, including interview notes, candidate records, and offer approvals
Collect and review candidate feedback, identifying areas of improvement and providing suggestions to workflows, processes, etc. to address
- Maintain Candidate Experience
Partner with Talent Acquisition Partners (TAPs) and hiring managers to ensure alignment on scheduling, candidate communication, and process timelines.
Provide candidates with all necessary information, such as interview details, logistics, and next steps.
Work directly with candidates to arrange candidate travel, including connecting with them upon arrival, answering questions, and helping provide a smooth interview experience.
Address candidate inquiries and escalate issues to the Sr. Manager, TA Operations and/or TAP as needed.
- System & Data Management
Maintain accurate and up-to-date information in the Applicant Tracking System (ATS) and other recruitment platforms.
Document and maintain ways of working, process documents, and other relevant TA materials.
Support ad hoc Talent Acquisition projects, including process improvements, documentation updates, and tools optimization to enhance recruiter effectiveness.
Build and maintain TextExpander shortcut libraries to streamline recruiter communications, outreach templates, and recurring candidate messages.
Use systems to coordinate operational activities across the Talent Acquisition Operations team, including scheduling, tracking project milestones, and ensuring follow-through on action items.
- Collaboration & Communication
Follow established recruitment workflows and ensure compliance with organizational policies and standards.
Support the preparation of recruitment reports and metrics for review by the Sr. Manager, TA Operations.
Partner with the TA team with ad-hoc support needs, such as coordinating recruitment events, career fairs, and other recruitment marketing initiatives.
Support processes and needs associated with internal movement and other areas/ regions across the recruiting team as needed.
Promote diversity, equity, and inclusion (DEI) initiatives by driving inclusive practices in ways of working.
EXPERIENCE
Your areas of knowledge and expertise
that matter most for this role:
- Entry-level professional with a strong interest in talent acquisition or human resources with 1+ years of experience in TA, recruiting operations, or a related HR role.
- Strong understanding of recruiting processes, metrics, and best practices.
- Strong organizational skills with the ability to manage multiple tasks and priorities effectively. Excellent communication and interpersonal skills, with a focus on providing a positive candidate and stakeholder experience.
- Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint) and data visualization tools, with proven experience managing ATS platforms and other recruiting tools.
- Ability to work under close supervision and follow well-defined processes.
- Attention to detail and a commitment to accuracy in all tasks.
- A proactive and collaborative mindset, with a willingness to learn and grow within the role.
- Experience in a high-growth and/or global organization preferred. Knowledge of employment laws and compliance requirements related to recruitment a plus.
- Bachelor’s degree in Human Resources, Business Administration, or a related field and/or certification in HR or TA is preferred.
