Academic Advisor, Academic Advisement This position provides an essential service at MSMU through the holistic academic advising for incoming and current students on LACE General Education, program curriculum requirements, transfer credit, and institutional policies and processes. This includes intentional relationship building to support and promote student success. The Academic Advisor guides students in the academic exploration process with various majors and minors, serving as an intentional and knowledgeable resource in the transition to an intended major(s). This position continually resolves student inquiries and concerns, while working closely with campus partners as a support intermediary. The primary objective is to ensure student satisfaction, well-being, and success in their educational experience. Additionally, the Academic Advisor contributes to the development of departmental resources and support infrastructure to deliver quality advising services, designed to meet the needs of diverse and evolving student populations. This position is critical in delivering quality academic guidance, support and services for student retention and success in degree completion. Work Location: Chalon Campus (West Los Angeles). Remote work available 1-2 days per week. Duties and Responsibilities: Advises assigned student caseload and drop-ins on academic requirements, policies, and classes specific to their educational needs. Maintains confidential student files and records, documenting all pertinent academic information within the university systems, while upholding FERPA regulations. This includes removing advisor restrictions to enable student enrollment. Assists with university/departmental retention efforts through building and maintaining advisee relationships, tracking progress, and continual outreach/early intervention. Responds to student concerns/inquiries, and refer students to appropriate campus resources, including Counseling and Psychological Services. Supports, mentors, and guides students through the college transition by helping them navigate campus departments such as financial aid, student accounts, career and professional development, and residence life. Updates student files and maintain workflow in Perceptive Content, the document imaging system. Serves as an essential resource for exploratory/undecided students. This includes staying up to date with various major and minor requirements, and referring students to Career and Professional Development to explore integration of their degree program into future professions. Fostering campus partner relationships, in order to better serve students and quickly resolve student situations or concerns. Provides assessment surveys each Advisement Period and supports all departmental assessment efforts. Assists in identifying achievement gaps in the Pre-Nursing populations and works with faculty and staff to build strategies for improvement. Works with developing departmental student employees. Monitors and assists in development of Academic Advisement webpages, with current information on programming, academic policies, and support services available. Assists with advising activities in relation to new student events/orientations including presentations, collaborating across departments, and advising students from several disciplines. Collaborates with advisors and Advisement leadership in the creation and presentation at Academic Advisement Success Sessions (virtual and on campus), throughout the academic year. Proctor placement exams (Accuplacer and Avant) for both incoming and current students. Understands protocol associated with efficient and expedient testing of students and works with the Testing Coordinator for inquiries and resolution. Other Duties and Responsibilities: Responsibilities includes working some nights and weekends. Position includes occasional travel between Chalon and Doheny campuses. Performs outreach and Advisement related activities as directed. Performs other job-related duties, as assigned. Job Requirements: Knowledge: Understanding of academic policies and degree requirements in higher education. Understanding of the different advising theories and standard student retention practices across higher education, particularly within smaller university settings. Knowledge of the California Community College system. Strong working knowledge of computers and word processing, spreadsheets, database, and/or other software applications. Working knowledge of WEB UI Colleague, Transfer Evaluation System (TES), Articulation Agreements, and Perceptive Content system preferred. Knowledge of high impact practices for student success and retention. Abilities and Skills: Effectively organize, prioritize, and handle multiple tasks to meet established deadlines. Exercise sound judgment and decision-making. Discretion with confidential information. Analytical, detail-oriented, and accurate. Understanding of, and sensitivity to the needs of a small, private, and diverse university environment. Ability to easily build rapport and work well with diverse student populations, staff and faculty. Ability to manage stress and be adaptable. Customer service orientation. Present information accurately and clearly to students, MSMU colleagues, and constituents. Ability to collaborate and form connections with colleagues to promote a positive working environment. Maintain time management and adherence to departmental goals. Strong oral/written communication, interpersonal, and presentation skills. Computer and data entry skills. Innovative and creative. Education: Bachelor’s degree required. Master’s degree in Higher Education, Psychology, or related fields preferred. Experience: Minimum 2 to 5 years’ experience in an academic setting, preferably in Academic Advisement or an Academic Affairs office.
