Position Summary Under the direction of the Director and of the Associate Dean for Academic Personnel (ADAP), the incumbent is responsible for the administration of the academic personnel review process, interpretation of complex University academic personnel policies, appointments, liaising with School visa coordinator for School of Dentistry’s academic divisions and sections. Coordinates and processes the School of Dentistry’s dossiers to appoint, appraise, and advance academic appointees (approx. 600 paid and without salary faculty including academic administrators, researchers, and lecturers). Provide administrative support and advice to the School’s standing Faculty Review Committees, ensuring compliance with academic review procedures. Liaise with the Vice-Chancellor’s Academic Affairs and Personnel Office (AAPO), working in a cooperative effort to interpret policy and solve problems. Responsible for actions related to new hires, payroll, vacation usage and reporting, leave administration and other personnel /administrative matters. Salary & Compensation *UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications Working knowledge of Academic Personnel policies and procedures, University Accounting procedures, and University Payroll policies and procedures. (Preferred) Working knowledge of Federal and University visa policies and procedures. (Required) Ability to interpret, explain, and apply complex policies such as the academic personnel policies. (Required) Ability to assess contents of academic proposals in conjunction with new or changing University policies and determine what parts or pieces are missing or require supplemental information. (Required) Ability to work independently and accurately with frequent interruptions and/or distractions while handling confidential materials and information with responsibility. (Required) Ability to establish and maintain cooperative working relationships with other staff members, faculty, students, and administrators. (Required) Ability to organize work flow, supervise, train, delegate, and review work assigned. (Required) Skill in organizing and setting priorities which accurately reflect relative importance of job responsibilities in order to complete work in a timely manner when there are changes in workload, deadlines, and competing requirements. (Required) Skill in speaking clearly and distinctly using appropriate vocabulary and grammar to obtain and convey information to individuals at various organizational levels. (Required) Experience in organizing data and materials in a manner that can be followed by others. (Required) Proficiency in using Microsoft Excel and Microsoft Word.
