The Human Resources Office, resides within the Dean’s Office, providing core comprehensive support in personnel management, policy implementation and administrative services to faculty, staff and students. Position Summary Reporting to the Director of Human Resources and Associate Dean of Academic Affairs, the Academic Personnel Manager will be a member of the Human Resources team that provides personnel and payroll services to four academic departments and eleven research centers. The incumbent will assist in the management of daily operations of Luskin School of Public Affairs Human Resources and serve as the Academic Personnel Manager for the school. The Academic Personnel Manager will provide consultation, interpretation and application of University policies and procedures as they relate to academic employee actions, manage the review of online dossiers for over 150 ladder faculty and other academic employees, serve as primary liaison between Campus Academic Personnel Office, and the School regarding all academic personnel actions, policy, OPUS/Interfolio, etc. and provide training/guidance to department chairs and managers. The Human Resources Manager will also manage leaves of absence for faculty and other academics, review HR training reports and work with departments to ensure school is in compliance, supervise HR staff in the absence of the Director of Human Resources, collaborate with the Director of Human Resources in developing systems and procedures that assure the full range of academic personnel and payroll services are provided to support the school. Qualifications Experience reviewing/overseeing dossier process for accuracy, completeness and in compliance with UCLA’s The CALL and UC Academic Personnel Manual (APM) (Preferred) Demonstrated knowledge of UCLA’s The CALL and the UC Academic Personnel manual related to all academic appointments, advancements, dossier processes and exceptions to policy. (Preferred) Demonstrated knowledge of applicable Federal, State and employment regulations (Family and Medical Leave, Americans with Disabilities Act, Fair Labor and Standards Act, Sexual Harassment Complaint procedures). (Required) English writing skills to compose accurate, concise, grammatically correct policies, procedures, executive level documents and internal analytical reports (Required) Demonstrated working knowledge of, and proficiency in using UCPath, OPUS, Academic Recruit, Interfolio, Tracker I-9 and other UCLA campus personnel tools. (Preferred) Demonstrated skill in determining what information is confidential and skill in dealing with confidential and sensitive information with discretion. (Required) Skill in speaking clearly and distinctly using appropriate vocabulary and grammar to obtain and convey information to individuals at various organizational levels. (Required) Demonstrated skill in analyzing and clearly communicating information, problems and issues. (Required) Ability to work independently with conflicting demands, time-sensitive deadlines, frequent interruptions and/or distractions. (Required) Skill in establishing and maintaining cooperative working relationships with administrators, faculty and staff; ability to develop positive relationships with internal and external University personnel.
