About the Role
A national professional services firm is seeking a detail-oriented Invoice Processing & Data Entry Specialist to support daily accounting and operations. This role reports to the Operations Manager and plays a key part in ensuring accurate, timely financial data and CRM records.

Software Used

QuickBooks

Tracker CRM

Microsoft Office

PC-based systems

Key Responsibilities

Enter and process approximately 180 invoices per week in QuickBooks with accuracy and proper account coding

Review and verify invoices for completeness, accuracy, and policy compliance

Maintain high-volume data entry while meeting weekly deadlines

Update and manage client and vendor records in Tracker CRM

Assist with invoice reconciliation against purchase orders, contracts, and client records

Generate invoice and transaction reports for management review

Communicate with vendors, clients, and internal teams to resolve invoice issues

Maintain organized documentation for compliance and audit purposes

Identify opportunities to improve invoice and CRM processes

Provide backup support for accounts payable and accounts receivable as needed

Ideal Candidate

Highly accurate with strong attention to detail

Comfortable with high-volume data entry

Experience with QuickBooks and CRM systems preferred

Strong organizational and communication skills
