Commercial Real Estate Investment company located in New York, NY is looking to hire an Administrative Assistant for their sales and leasing team.

This position is (4) four days onsite/one day optional-remote • Direct Hire • Onsite: Monday- Thursday, Remote: Friday • Location: New York • Salary Range: $50k-$60k

DUTIES: Provide day-to-day administrative support to the Sales & Leasing team (VP, Property Manager, and Assistant Property Manager).

RESPONSIBILITIES:
Work directly with the Sales & Leasing team in all aspects of the administrative duties. Draft new leases and lease renewals for new and/or existing tenants. Liaise with legal counsel for legal matters pertaining to rental or sales questions. Prepare welcome packets for new tenants and move-out paperwork for existing tenants. Handle advertising of property listing online. Correspond with potential tenants and/or brokers as inquiries populate in a timely manner. Coordinate showing/tour and move-in/move-out schedules for the S&L team. Assist and review tenant applications as they come in through Yardi/or other online platforms. Take detailed notes during all meetings. Generate sales and leasing market reports. Correspondence with tenants via email, text and/or phone. Relay repair requests or tenant issues to appropriate property managers. Take weekly progress photos of the new development sites. Maintain filing and distribution of all paper and/or electronic records related to the various services, contracts between tenants, vendors, and trades. Works independently and within a team on special nonrecurring and ongoing projects. Prepare closing documents. Notarize documents as needed (if the person is a notary public). Planning events for the office as needed. Coordinate business travel plans/business functions for the VP or team member.

EDUCATION:
Prefer someone with a College Degree. 1-2+ years of proven administrative experience. Someone who has an interest in commercial real estate development. experience.

OTHER REQUIREMENTS:
High level of proficiency using Microsoft office including Word and Excel. Excellent written, verbal, and interpersonal communication skills. Excellent organizational skills. Experience with calendar management, event planning and travel arrangements.
