Administrative Assistant – Regulatory Affairs Department

 

Summary:

The Regulatory Affairs Administrative Assistant provides essential administrative support to the Regulatory Affairs Department of a flavor production company in Pacoima, CA. This role involves managing raw material documents, creating finished product documentation, and maintaining departmental workflow. The ideal candidate will contribute to the company’s efficient and profitable operation by fostering positive relationships with suppliers, customers, and internal teams.

 

Details:

Pay: $22 – $24/hr

Shift: Monday – Friday; Day shift

Job Type: On-site

Duration: Temp-to-Hire (roughly 6 month conversion time)

 

Responsibilities: 

  • Maintain a well-organized office system and efficient departmental workflow. 
  • Manage departmental communications, including filtering and monitoring emails and documents. 
  • Communicate with vendors to obtain necessary regulatory and food safety documentation. 
  • File and manage raw material regulatory documents and maintain up-to-date religious and organic certificates. 
  • Assist with formatting and dissemination of regulatory finished product documents. 
  • Support regulatory specialists with document management and projects as assigned. 
  • Track and report on regulatory metrics to support departmental goals. 
  • Use discretion and maintain confidentiality of sensitive information in accordance with company procedures. 
  • Perform other duties as assigned by Regulatory Management.

 

Qualifications: 

  • High school diploma required; secondary-level coursework or an associate’s degree is preferred. 
  • 1-2 years of experience in administrative or clerical roles.
  • Proficiency in Microsoft Office Suite and ability to learn new computer systems quickly. 
  • Strong attention to detail and organizational skills. 
  • Excellent written and verbal communication skills.
