We are currently seeking a highly organized and detail-oriented Bilingual (Spanish/English) Administrative Specialist to join our team. This dynamic role supports multiple departments and requires a proactive professional with strong communication skills and the ability to manage a wide range of responsibilities. The ideal candidate will handle accounts payable, including processing 20–30 invoices weekly and coordinating with corporate for payment. Daily duties include answering phones, ordering office supplies through Amazon, and serving as the primary liaison between sales reps and the corporate office to ensure accurate bookings in Sage and proper job number assignment.
Additional tasks include booking travel and hotels, directing customer quote requests to the correct sales rep, and managing safety documentation compliance with Cal OSHA regulations. This position also involves coordinating background checks and fingerprinting for new hires, planning employee events, and assisting with general administrative duties.
This is a fast-paced and rewarding position ideal for someone who thrives on variety, enjoys working with people, and is committed to supporting a collaborative team environment.
