Administrative Assistant/Accounting Clerk needed to provide comprehensive support to our team. The ideal candidate will be proficient in handling a wide range of administrative and financial tasks, demonstrating excellent communication and problem-solving skills.
Responsibilities:
- Purchase Order Management: Process and track purchase orders, ensuring accuracy and timely delivery.
- Accounts Receivable: Generate and send invoices, track payments, and manage accounts receivable records.
- Accounts Payable and Expense Management: Process invoices, manage expense reports, and ensure accurate cost tracking.
- Provide high-level administrative support to the CEO, Vice Presidents, and team members.
- Manage and maintain complex schedules, appointments, and meeting arrangements.
- Handle incoming and outgoing communications, including phone calls, emails, and correspondence, with professionalism and efficiency.
- Prepare and format reports, presentations, and documents as required.
- Maintain office supplies and place orders as needed.
- Coordinate office logistics, including lunch arrangements, and ensure a clean and organized workspace.
- Assist in the planning and coordination of company events and meetings.
- Act as a liaison with vendors, clients, and external partners, fostering positive relationships.
- Compile and organize deployment packets for merchant accounts, ensuring all required documentation and materials are included.
Required Skills and Experience:
- Proficiency in QuickBooks, Microsoft Excel, Word, and Outlook.
- Excellent organizational and time-management skills.
- Exceptional written and verbal communication abilities.
