Events Coordinator, University and External Events The Events Coordinator, University and External Events provides administrative and logistical support for high-impact engagement, stewardship, and public events. This position assists with day-to-day coordination tasks including preparing files, processing invoices, and data entry, as well as supporting event planning and on-site execution. The Events Coordinator plays a key role in event setup, staffing during events, and tear-down, ensuring a seamless experience for guests. The ideal candidate is highly organized, detail-oriented, and comfortable balancing administrative responsibilities with hands-on event work in a fast-paced environment. Work Location: Doheny Campus (Downtown Los Angeles) and Chalon Campus (West Los Angeles). Remote work available 1-2 days per week. Start Date: Immediately Position Hourly Rate Range: $24.13 -$26.06 Hiring salary can be above the posted pay range if candidate’s qualifications are determined to be above the minimum requirements of the position description. Duties and Responsibilities: ADMINISTRATIVE SUPPORT: 40% Prepares event-related files, checklists, and materials to support planning and execution. Processes invoices, tracks expenses, and assists with budget documentation and reconciliations. Provides data entry and administrative support for registration tracking, seating assignments, nametags, and related needs. Maintains organized electronic files and event documentation. Coordinates internal meetings, agendas, and follow-up communications related to event planning. EVENT SETUP, EXECUTION AND BREAKDOWN: 30% Assists with on-site event setup, including decor, signage, registration tables, and materials. Provides staffing support during events, including guest check-in, directional assistance, and general troubleshooting. Supports post-event teardown, clean-up, and inventory of supplies. Maintains a calm, professional presence at high-profile events. GUEST COMMUNICATION AND DATA MANAGEMENT: 20% Assists with guest list development, mailing list preparation, and RSVP tracking. Supports the creation and distribution of event confirmations and reminders. Helps maintain accurate attendance records and contact updates in Raiser’s Edge. Prepares printed materials including nametags, signage, programs, and table cards. GENERAL SUPPORT AND OTHER DUTIES: 10% Provides general support to the Director and Assistant Director of University & External Events. May be asked to support other departments within Institutional Advancement, such as Alumnae Relations, External Relations, Communications, or the Office of the Vice President for Institutional Advancement (VPIA). Participates in team meetings and contributes to a positive, solutions-oriented work environment. Assists with special projects and performs other related duties as assigned. Other Duties and Responsibilities: Must be available on select weekends and evenings. Perform other job-related duties, as assigned. Job Requirements: Knowledge: Strong administrative experience is essential. Comfort using computers and the ability to quickly learn new administrative software systems Abilities and Skills: Excellent written and verbal communication skills. Highly organized with strong attention to detail and the ability to manage multiple priorities. Professional demeanor, with calm and poise under pressure and during live events. Ability to work collaboratively as part of a team, as well as independently with minimal supervision. Strong customer service orientation and commitment to creating a welcoming environment for guests and colleagues. Education: Bachelor’s degree preferred, or equivalent combination of education and relevant administrative experience. Experience: Experience working with a database is desired; familiarity with Raiser’s Edge, RENXT, or 25Live is a plus. Experience supporting in-person events or working in a fast-paced office environment preferred.
