We are seeking a highly organized and proactive Executive Assistant to support our tax partners and agency operations. This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will serve as a trusted partner, ensuring smooth day-to-day operations and acting as a key liaison between clients, partners, and external agencies.

Key Responsibilities
Budget Management: Track and monitor budget vs. actuals for agency clients, ensuring account managers close books on time and external reporting is obtained.

Reporting: Prepare monthly budget vs. actuals reports for select clients using Microsoft Excel.

Administrative Support: Receive, assess, and forward incoming mail to appropriate parties.

Client Notices: Assist tax partners in managing client notices, draft responses, and coordinate signatures; occasionally communicate with state agencies by phone.

Meeting Coordination: Manage biweekly and monthly agency calls, handle last-minute meeting requests, schedule client calls, send reminders, and ensure partners are prepared.

Client Engagement: Attend client calls when needed and follow up on action items.

Project Support: Provide proactive reminders for key projects, deadlines, and tax filings; assist with special projects such as drafting lease agreements, reviewing foreign credit card statements, summarizing inspection agreements, drafting onboarding materials, researching tax matters, and obtaining EINs/Tax IDs.

Partner Support: Act as the primary point of contact for tax partners, managing scheduling, correspondence, and follow-up tasks, while serving as a gatekeeper to resolve inquiries before escalation.

Skills & Competencies
Strong organizational skills and meticulous attention to detail.

Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook); experience with financial software or budgeting tools preferred.

Excellent written and verbal communication skills.

Ability to multitask and manage shifting priorities in a fast-paced environment.

Problem-solving abilities with a proactive approach to addressing issues.

Knowledge of basic tax or accounting principles is a plus.
