JOB SUMMARY:
Reporting directly to the CEO & COO, under the supervision of the CEO & COO, the Executive Assistant (EA) provides executive support in a one-on-one working relationship. The Executive Assistant serves as the primary point of contact for internal and external constituencies on all matters pertaining to the Office of the President. The Executive Assistant must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven, and community oriented. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The Executive Assistant will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. It also requires tact, judgment, and highly developed sense of responsibility. The EA handles details of an extremely confidential nature; has demonstrated knowledge of corporate operations, policy, and personnel. Will exercise considerable discretion and finesse in dealing with personal contacts.
ESSENTIAL FUNCTIONS INCLUDE, but are not limited to following:

  • Plans, coordinates, and ensures the CEO’s & COO’s schedule is followed and respected. Provides “gatekeeper” and “gateway” role, creating win-win situations for direct access to the CEO’s & COO’s time and office.
  • Organize monthly, quarterly, and annual Board meetings; prepare WCA Board mailings
  • Prepares WCA Board and Committee Meeting Minutes
  • Maintain and keep confidential all proprietary information related to the Office of the President, Board of Directors and Trustees, and management team
  • Assist in all matters pertaining to management and government relations.
  • Arrange meetings, travel, executive tours, and special activities for the President.
  • Maintain all executive office reports, master calendar, files, and scheduled projects.
  • Communicates directly, and on behalf of the COO and CEO, with Board members, donors, leadership team, organization staff, and others.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the President, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Provides a bridge for smooth communication between the CEO’s & COO’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with senior leadership and management staff.
  • Plans, directs, manages, and assists with special projects as assigned.

REQUIREMENTS

  • Bachelors degree or higher (preferred, will consider Associates degree)
  • Assisting C-Level Execs: 5 years (Preferred)
  • Administrative experience: 5 years (Required)
