Department Summary

The scholarships unit administers all donor scholarships to the Office of Financial Aid and Scholarships, and coordinates policies, procedures, and/or processing for all UCLA undergraduate scholarships, fellowships, prizes, etc. They also process all external, outside agency awards, after their initial intake by Payments, Solutions, and Compliance, and advise the graduate and professional schools, as needed.
Position Summary

Reporting to the Scholarships Program Manager, the Scholarship Program Specialist is responsible for providing data analysis, guidance, and support to the Scholarships Unit within the Office of Financial Aid and Scholarships, and other schools and departments. They will work collaboratively with the scholarships unit on various projects/programs which include, but are not limited to scholarship awarding, scholarship reports, award documentation, and other projects as our team helps to manage significant institutional scholarship program growth. The ideal candidate will have an interest in financial aid and scholarships, fund management, and a strong connection to UCLA, the campus and its community.

Qualifications

  • Working knowledge of Federal Methodology pertaining to financial aid. Working knowledge of federal, state and university policies in order to answer student inquiries about financial aid programs. (Required)
  • Ability to analyze information, problems or situations to define the problem, formulate accurate and objective resolutions based on knowledge of financial aid policies. (Required)
  • Experience with the Financial Aid Management (FAM) system, Student Records System (SRS), Report Distribution System (RDS) and the Billing and Receivable (BAR) system used for accessing student data. (Preferred)
  • Ability to perform mathematical calculations used in processing financial aid awards. Communicate (both oral and written) using appropriate vocabulary and grammar to convey information accurately in a positive and professional manner. (Required)
  • General knowledge of departments and offices of the University, their functions, policies and procedures to make student referrals. Interpersonal skills to establish and maintain cooperative working relationships with staff and faculty. (Required)
  • Effective time management skills in order to prioritize and accomplish goals within established timeframes. (Required)
  • Ability to utilize a multitude of financial aid processing resources including National Student Loan Data System (NSLDS), Financial Aid Administrator Access to the Central Processing System (CPS), OpenNet Web Loan Delivery System and the Department of Education’s Common Origination and Disbursement (Preferred)
  • Ability to effectively use a personal computer for all desktop applications including knowledge of Microsoft Office Applications; Outlook, Word, Excel, PowerPoint, Access and Publisher. (Required)
  • Experience working in a financial aid office environment in a university of college setting for a least one year. (Preferred)
  • Education, Licenses, Certifications & Personal Affiliations

  • Bachelor’s Degree In related area and/or equivalent experience/training (Required)
