The HRIS Specialist is a key part of the Human Resources team, entering and managing electronic employment records for HR. This part-time position, approximately 20 hours per week, is responsible for entering, auditing, and monitoring employee records related to all university faculty, staff, and adjuncts in compliance with legal requirements related to hiring and terminations and with departmental procedures relative to handling confidential personnel records. This person will work in close partnership within the HRIS team as an HRIS liaison and subject matter expert in complex technical HR systems, and will assist others within and outside the department with their needs related to employee records. Required Education Bachelor’s degree or equivalent work-related experience. Required Experience Three to five years of related experience. Experience in higher education with HRIS or other data entry with an HCM system is preferred. Primary Duties/Essential Functions Responsible for managing all aspects of employee personnel files; ensuring that all information is accurately captured and properly stored in HRIS systems; manage authorized access. Collaborate with the Talent Acquisition team on hires, promotions, and transfers, managing the HR roles in the SilkRoad onboarding system. Work independently to process and analyze employee information by using Human Resources Information Systems (HRIS). Enter, audit, and monitor HR data for accuracy, completeness, and consistency. Process all employee and organizational changes; investigate and resolve data integrity issues. Provide timely and effective communication with departments related to employee documents, processes, and end-user requests. Responsible for creating a work environment that protects data confidentiality. Responsible for requests from the Duplicate Committee with regard to data in the HRIS system. Partner with HRIS colleagues in entering employment contract data into the HRIS system. Partner with the IT Business Systems unit on special system initiatives. Serve as subject matter expert for I-9 verification, training designees, and overseeing process in new employee orientation, including collecting documentation and SilkRoad/E-Verify electronic process. Provide exit packets for faculty and staff separating from the University. Respond to confidential inquiries from the Office of General Counsel and collaborate on subpoena requests. Collect appropriate documents and meet with employees and background investigators for personnel file review. Respond to HRIS email account and online customer service work requests in a timely manner. Regular, punctual attendance as required by the supervisor based on department needs. Cross-train on all HRIS team responsibilities. Develop user procedure guidelines and documentation. Manage Formstack and Dropbox Sign process for all electronic employment contracts. Manage PeopleSoft testing, adding new departments, combo codes, and security tree. Serve as an HRIS primary contact for Payroll colleagues and end-user population. Train HR staff members and representatives of other departments on new processes/functionality and in the processing, retrieval, and interpretation of data from automated systems. Act as a liaison with IT in identifying and correcting problems relating to electronic Human Resources files. Collaborate with Payroll on any contract changes, payroll deadlines, and student and employee needs. Analyze and report the need for system enhancements or customizations to improve functionality and/or workflow. Serve as a subject matter expert for HRIS systems capabilities (e.g., PeopleSoft, ADP Vantage, Kronos). File and e-file various employment records into appropriate personnel files. Perform special projects and assignments as assigned by the supervisor. Skills Strong attention to detail. Ability to perform data entry with a high rate of speed and accuracy. Advanced research skills in HR PeopleSoft and other HRIS systems. Ability to communicate effectively with internal and external professionals at all levels. Ability to train HR colleagues and other department liaisons in HR systems use and procedures. Ability to handle multiple tasks and responsibilities with minimal supervision. Strong interpersonal, collaborative, organizational, and problem-solving skills. Ability to effectively present information and respond to questions. Experience with PeopleSoft, SilkRoad, ADP Vantage, HappyFox, and/or SQL a plus. Compensation Grade 9: $23.58 to $27.12 is the hourly compensation for this role and reflects what Azusa Pacific University reasonably expects to pay for this position. Actual compensation may vary based on the qualifications, experience, and internal equity.
