Position Summary The UCLA Department of English is widely recognized as one of the leading departments in the nation. English at UCLA has long been known for its innovative research and excellence in teaching. Today, the English Department maintains its strong commitment to traditional areas of study, while also supporting groundbreaking research and teaching in new and interdisciplinary approaches to literary studies. Incumbent manages all Payroll/Personnel issues for all Pre-6 Lecturers, continuing lecturers, recalled lecturers, for English and Writing Programs. In this capacity, the employee is responsible for analyzing and interpreting UC policies and procedures and ensuring that the department’s practices are in compliance with these policies and procedures, especially those that pertain to employees under labor contracts (with UAW collective bargaining group). Payroll/personnel/finance administration involves the coordination of employment for over 70 lecturer positions. The incumbent also manages associated functions with payroll budgets and allocations, reconciling expenses across dozens of FAUs. Incumbent establishes, maintains and analyzes all financial data associated with above hires. Incumbent manages and executes all lecturer promotion, reappointment, and reassignment processes and answers all queries about payment and benefits. Incumbent collaborates with CAO, Chair, Human Resources Manager and summer teaching coordinators in order to determine summer budget allocations and summer teaching hires. Qualifications 1-2 Years HR experience within an academic environment. (Preferred) Skill in maintaining poise and accuracy when performing with frequent interruptions and distractions in a busy office. Skill in prioritizing assignments to complete work in a timely manner when there are frequent changes of workload, deadlines, and priority. (Required) Ability to communicate clearly, professionally, and effectively. Interpersonal skill to establish and maintain cooperative working relationships with faculty, administrators, students and staff; ability to work as a team player. (Required) Skill in reading and interpreting written documents in standard English text such as university policy and procedures manuals; and understanding the importance and ramifications of such policy changes and updates as they apply to the personnel process. (Required) Demonstrated skill in using MS Office products, including Word, Excel, Outlook, and Access and a demonstrated working knowledge of Windows Operating System. Ability to learn new programs for core business functions as necessary. (Required) Ability to compose, edit, and proofread departmental reports, memos, and correspondence with great details and accuracy; knowledge of standard English grammar, punctuation, prose style and correspondence, list and manuscript formats. (Required) Ability to accurately create, organize, and maintain complex administrative files. Ability to maintain confidentiality of records and information; Skill in coordinating all academic personnel actions by determining the appropriate time and sequence of events in accord with personnel policy. (Required) Skill in analyzing tasks and procedures and making informed recommendations. Skill in assembling and analyzing data from a variety of sources, completing summaries and reports based on the data, and understanding the relationships among data to develop and expand upon computerized data sets. (Required) Mathematical skills to compute averages and percentages with accuracy, to reconcile payroll on a monthly basis, to create budgets, and to present reports when requested. (Required) Familiarity with other campus organizations and resources, most importantly the Academic Personnel Office, Campus Human Resources, Department of Graduate Education, UCPath, Central Resources Unit, Insurance and Risk Management, Dashew Center (employment visas), and the UCLA Benefits Office. (Preferred) Detailed working knowledge of academic personnel policies and procedures and academic collective bargaining agreements, as well as College and departmental policies and procedures. Knowledge of informational resources available on campus along with an ability to analyze and interpret these. (Preferred) Demonstrated knowledge of UCPath, OPUS/INTERFOLIO, UC Recruit, I-9 Tracker, UCTRS, and Glacier. Familiarity with all types of human resources,UC benefits and payroll policies, including FMLA/CFRA, PDL, ADA, EEO, DOL/FLSA wage and hour guidelines, COBRA, and Workers’ Compensation. (Preferred) Knowledge of academic values, priorities and expectations. Understanding of research and teaching standards, models and practices.
