Department Summary With more than 12 million volumes and an annual budget of approximately $35 million, the UCLA Library is ranked among the top ten academic research libraries in North America. Unified Access Services (UAS) employs 32 FTE in all eight campus libraries reporting to the University Librarian. The department is responsible for providing circulation services, patron registration, shelving and stacks maintenance assistance, interlibrary loan, course reserves, building maintenance, and monitoring of library safety and security. UAS works with Facilities Management to identify and address building issues. The department also partners with UCPD, Community Service Officers (CSOs), and Public Safety Aides (PSAs) to create a safe environment for research. Position Summary Under the general supervision of the Assistant Director of Unified Access Services (ADUAS), the Library Building Services Coordinator (LBSC) provides services to ensure that Library spaces support the work of staff, meet the preservation needs of collections, and support the needs and comfort of faculty, staff, and student users of the Library’s physical facilities. The LBSC serves as building manager for the Charles E. Young Research Library (YRL) and provides security, emergency, and building support services for all libraries reporting to the University Librarian. They work closely with UAS Managers and Leads, the Library Administrative Analyst, Library Preservation, UCLA Facilities Management, and other appropriate campus partners to troubleshoot building problems and coordinate building services projects. Provides library employees and managers with information, solutions, advice, and service on building and security issues. Acts as liaison between Library units and UCLA Facilities and/or Capital Programs to address building services problems and support projects. Provides excellent customer service and regular communication on the status/progress of building services requests, repairs, security, and construction and renovation projects to constituents and stakeholders. Assists Library Communications, Library Development, and the Campus Events Office with coordination of special events & provides logistical support for events & film shoots in the libraries. Administers building, security, and emergency services in consultation with the UAS Leadership Team and other library administrators and campus departments. Coordinates with campus partners to install, test, and maintain alarms and theft detection, video, and alarm systems in the libraries. Serves on UAS management team responsible for Library security response coordination & resolution of serious safety & security issues, in accordance with Library & University Policy. Serves as a liaison with UCLA Police/CSO office to coordinate CSO schedules and ensure that YRL and Powell Library Security is maintained. Issues keys and access codes for Bruin Card readers and Omnilocks and updates/maintains their secure databases. Coordinates with department Leads and Managers to create and maintain Library emergency plans and works with Library and campus stakeholders to identify and coordinate trainings on emergency preparedness and response. Oversees the maintenance of the Library’s equipment inventory and completes annual submission of UCLA equipment inventory for department. Monitors and ensures proper expenditure of allocated funds for operational needs. Salary & Compensation *UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications Exp. managing facilities i.e. academic libraries or ED facilities open to the public, coordinating complex renovation remodeling projects incl. relocations, & overseeing bldg. maintenance & security. (Required) Exp. & demo. skill working independently, priority setting, meeting deadlines, completing projects on time/within budget, & using sound judgement. Skill identifying problems & implementing solutions. (Required) Experience working in cloud-based & networked environments. Demonstrated proficiency using tools such as Office 365, Google Docs, Microsoft Box, Slack, Confluence, & Jira. (Required) Experience and demonstrated skill using UCLA financial and inventory systems such as Query DataBase (QDB), Campus Data Warehouse (CDW), Bruinbuy. Environment, Health, & Safety Assistant (EHSA). (Preferred) Organizational, analytical, and project management skills to balance multiple (sometimes conflicting) priorities, lead complex projects, perform efficiently & courteously amidst frequent distractions & interruptions to meet workflow demands. (Required) Ability to analyze problems, probe for relevant information, identify possible causes, formulate logical conclusions, and select or recommend appropriate action. Calm and logical thinking and action is necessary, especially during an urgent or emergency situation. (Required) Ability to analyze space usage and requirements for Library programs and collections (existing & proposed), provide creative and practical solutions to space problems, and maintain inventories of space and equipment in a consistent and accurate manner. (Required) Interpersonal skills to thrive in team-based environments & initiate & maintain cooperative working relationships with co-workers, supervisors, managers & a variety of customers, including Library & campus staff & administrators, vendor representatives, architects, work crews, & trades personnel. (Required) Attention to detail, demonstrated capacity for carrying out tasks in an accurate manner, and ability to check own work for accuracy. (Required) Excellent written communication skills, specifically writing skills to compose a variety of documents (correspondence, reports, policies, procedures) that are logical, concise, and grammatically correct. (Required) Mathematical skills to perform accurate computations for facilities-related projects, budgetary activities, & statistical requirements of the job, including the ability to analyze, integrate, & utilize data to prepare accurate reports for departmental & library-wide groups & administration. (Required) Demonstrated sound judgement and ability to work independently and set priorities and maintain them while coping with a fluctuating workload and competing demands. (Required) Demonstrated financial management skills to plan, prepare, analyze, monitor, & assess department, project, & program budgets, forecast costs, & track expenditures. Ability to manage fiscal resources to meet operational needs & stay within an allocated budget. (Required) Ability to plan, implement, and monitor security programs to safeguard Library users, personnel, and physical assets. (Required) Ability to get to work reliably and on time and to be present in the workplace during normal working hours. Ability to adjust schedule as needed to work evenings or weekends when emergency situations or unforeseen projects arise.
