(M)POWER Testing and Operations Coordinator, Academic Advisement & Study Away This position provides an essential service within MSMU’s signature experience, (M)POWER, as the central role in delivering the placement testing of all new incoming and current students with streamlined communications from the Office of Academic Advisement & Study Away, in alignment with (M)POWER goals, objectives, and strategic initiatives. The (M)POWER Testing & Operations Coordinator is responsible for the coordination of the placement testing services available to traditional undergraduate Mount students with the implementation of the protocol, communications, and processes involved in efficiently testing students into the appropriate course(s) placements. This position also closely collaborates with the Office of Admission, Undergraduate Dean’s Office, and Title V DHSI Grant leadership to create, improve, and evolve ongoing targeted communication centered on placement testing and all academic related services, resources, events, and opportunities within the Office of Academic Advisement & Study Away. This role is an intermediary coordinate point, between Academic Advisement and campus partners, to support the utilization of the Slate platform in communication objectives, as it relates to advisement, study away, and placement testing content. This position contributes to the overall Mount student experience and satisfaction with increased communication and transparency of placement testing information and how it specifically connects to student’s educational plan with degree goals. (M)POWER Testing & Operations Coordinator also serves as the point of contact for testing trainings, resource knowledge for the Mount community (including collaboration with Department Chairs on testing parameters/course metrics) and works closely with OIT to ensure an efficient student testing experience, in tandem with MSMU platforms. Work Location: Doheny Campus (Downtown Los Angeles). Remote work available 1-2 days per week. Start Date: Immediately Position Hourly Rate Range: $24.13 – $25.00 Hiring salary can be above the posted pay range if candidate’s qualifications are determined to be above the minimum requirements of the position description. Duties and Responsibilities: Maintains confidential student files and records, documenting all pertinent academic information within the university systems (Self Service, Colleague, Slate, etc.), while upholding FERPA regulations. Responsible for coordinating all communication and internal processes, protocols, and requirements related to placement testing for new incoming and current students. Serves as the primary point person in improving, building, and evolving all facets of placement testing at MSMU for the traditional undergraduate population. Identifies gaps in communication across campus constituents and how to streamline processes involving testing and any Academic Advisement & Study Away services, resources, events, sessions/workshops, or critical information for our student populations. Works closely with the Office of Admission, Undergraduate Dean’s Office and Title V DHSI Grant Leadership, in particular the Director of Student Success and Retention and the Associate Director of Slate for Student Success, to implement essential communications within the Slate software, for new incoming and current students. Develops and improves a communications timeline/plan for Academic Advisement & Study Away, with Advisement leadership, and implements this timeline with designated campus partners. This includes a testing calendar with pertinent communications flow to support students, staff and faculty. Lead in development of Academic Advisement webpages and online platforms, concerning placement testing information, processes, and updated content for all student populations. Build and evolve placement testing visibility for prospective students and how course placements connect to MSMU degree options and completion. Collaborates with the Transfer Credit Manager and Advisement leadership in the creation of placement testing workshops/sessions to inform students of available options throughout the academic year. Serves as a support role to the Transfer Credit Manager with the display of transfer credit information and processes, assists in building or updating transfer databases. Improves transfer credit communication and departmental protocols. Fostering campus partner relationships, to better serve students and quickly resolve student situations or concerns concerning placement testing. Collaborates regularly with Transition and Success Coaches and leadership in the Office of Admission to ensure relevant new incoming student information is exchanged, and students receive appropriate support regarding placement testing. Coordinates and meets with Student Affairs, Department Chairs/Faculty, Academic Support Centers (including Summer Pathways program staff) and WEOC to provide testing information, resources, and workshops/presentations on any testing related content. Collaborates with Department Chairs to assess Accuplacer and Avant score metrics and parameters for specific academic departmental needs; makes necessary adjustments in Colleague, Accuplacer and Avant to meet department’s expectations. Understanding of transferability of AP, CLEP, IB exam scores, transfer credit evaluation, transfer resources, and general knowledge of degree requirements (LACE GE and Major). The institution administrator and primary contact for Accuplacer and Avant placement exams and the sole coordinator of testing for all new incoming and current students. (Builds and improves materials as associated) Reviews and updates the testing and the testing processes and procedures for continuous improvement and to align with best practices including those outlined by the National College Testing Association (NCTA) and College Board. Develops, recommends, establishes and monitors internal operational standards, policies and procedures to ensure test security of all testing instruments and compliance with local, state, and federal test regulations. Manages records keeping activities for all components to ensure integrity and accountability of testing; prepares necessary testing profiles and reports as required. Responsible for Colleague testing data upkeep and troubleshooting. Connects reporting/trend data to institutional and (M)POWER departmental and institutional goals. Provides information to staff, faculty and current or prospective students regarding testing procedures, protocol, and technological requirements. Coordinate with OIT regarding computer technology to ensure that computers are updated with appropriate software, computer labs are reserved, and OIT support staff is on call for testing for on campus testing options. Builds and strengthens existing testing service platforms relationships and materials for Mount students, such as with BYU Flats and Meazure Learning. The central point person for troubleshooting and improving processes and communications surrounding testing. Troubleshoots potential transfer issues or areas of concern and bring items to the attention of Academic Advisement leadership. Supports Academic Advisement efforts in rolling out (M)POWER communications and strategic implementation. Improves media and accessibility of information for Study Away, creates communication plan, specifically connected with Study Away deadlines and partner program opportunities. Other Duties and Responsibilities: Responsibilities include working some nights and weekends. Position includes occasional travel between Chalon and Doheny campuses. Performs outreach, success coaching, and advisement related activities as directed. Performs other job-related duties, as assigned. Job Requirements: Knowledge: Understanding of academic policies and degree requirements at MSMU. Understanding of the various collegiate level testing platforms and protocols. Knowledge of project management, coordination, and communication tools for streamlined and effective processes. Knowledge of the small, private college environment with emphasis on efforts for student success, support and retention. Strong working knowledge of computers and word processing, spreadsheets, databases, and/or other software applications. Working knowledge of WEB UI Colleague, Transfer Evaluation System (TES), Slate, Accuplacer, Avant, Self Service, Articulation Agreements, and Perceptive Content system preferred. Knowledge of high impact practices for student success and retention. Knowledge of the California Community College system preferred. Abilities and Skills: Effectively organize, prioritize, and handle multiple tasks to meet established deadlines. Exercise sound judgment and decision-making. Discretion with confidential information. Analytical, detail-oriented, and accurate. Understanding of, and sensitivity to the needs of a small, private, and diverse university environment. Ability to easily build rapport and work well with diverse student populations and collaborate effectively with staff and faculty. Customer service orientation. Present information accurately and clearly to students and other MSMU stakeholders. Ability to collaborate and form connections with colleagues to promote a positive working environment. Maintain time management and adherence to departmental goals. Strong oral/written communication, interpersonal, and presentation skills. Computer and data entry skills. Innovative, creative and adaptable to changing higher education landscapes and student expectations/needs. Education: Bachelor’s degree required. Master’s degree in Higher Education or related fields preferred. Experience: Minimum 2 to 5 years’ experience in an academic setting, preferable an Academic Affairs office, such as Academic Advisement or Registrar’s.
