Our rapidly growing construction industry client is seeking an experienced Office Manager to join their team in Pasadena, CA. The ideal candidate will have a strong background in office administration within the construction, landscaping, or public works sectors. This role requires exceptional organizational skills, leadership ability, and proficiency in managing day-to-day office operations while supporting company partners and project teams.
Responsibilities:
Oversee daily office operations and administrative staff
Maintain and organize company filing systems
Prepare contract reviews, certificates of insurance, and customer credit evaluations
Respond to customer inquiries and provide excellent service
Manage accounts payable, accounts receivable, and collections
Assist with payroll processing and workers’ compensation compliance
Coordinate project submittals and handle special projects
Schedule and organize meetings, including conference room setup and calls
Answer and direct incoming phone calls
Manage incoming/outgoing mail and office supplies
Recruit, train, and supervise administrative personnel, including performance reviews and disciplinary actions
Qualifications:
Proven experience as an Office Manager in the construction industry
High school diploma required; Associate’s or Bachelor’s degree preferred
Proficiency in Microsoft Excel and QuickBooks
Strong written and verbal communication skills
Excellent leadership and organizational abilities
Attention to detail and ability to manage multiple priorities
Dispatching experience strongly preferred
Certified Payroll Specialist is a plus
