We are seeking a detail-oriented and dependable individual to join our Accounts Payable (AP) Department. This role primarily involves processing invoices, ensuring accuracy, and supporting daily office operations. The ideal candidate will be comfortable working with office equipment, proficient in Excel, and skilled in both written and verbal communication.
This is a hands-on position that also requires the ability to lift up to 50 lbs.
Location: 600 Derby Avenue, West Haven, CT 06516 (Free Parking Available)
Pay Rate: $18.00/hour
Schedule: Monday – Friday, 8:00 AM – 5:00 PM
Onsite/Remote: Onsite
Driving Required: No
Dress Code: Business Casual
COVID Requirements: Must be fully vaccinated

Responsibilities

  • Process invoices accurately and in a timely manner within the AP department.
  • Operate high-volume copy machines, scanners, and mail processing equipment.
  • Perform binding, finishing, and filing tasks as required.
  • Maintain and troubleshoot convenience copiers (e.g., clearing jams, reporting service issues).
  • Distribute mail, supplies, and fax transmissions to designated personnel/areas.
  • Perform shipping and receiving duties as needed.
  • Maintain accurate records, logs, and management reports.
  • Provide excellent customer service by responding to inquiries and coordinating service requests.
  • Ensure office equipment and copier areas remain clean, stocked, and organized.
  • Perform other duties as assigned by the Site Manager or Supervisor.

Qualifications

  • High School Diploma, GED, or equivalent work experience.
  • Proficiency in MS Office Suite (Excel, Word, Outlook).
  • Strong written and verbal communication skills.
  • Previous related office/copy experience preferred.
  • Technical aptitude with printers, scanners, and other office equipment.
  • Strong organizational and customer service skills.
  • Ability to lift/move items up to 50 lbs. and occasionally push/pull machines up to 700 lbs.

Working Conditions

  • Office environment with normal temperature and lighting conditions.
  • Involves periods of standing, walking, bending, and lifting.
  • May require walking between buildings to complete assignments.
