Job Description The Cedars-Sinai Cancer (CSC) Program Administrator is the primary point person for assigned CSC research program(s) and related initiatives and is the liaison between the research program(s) and departments or research groups. The individual will work with the program leaders, program members, CSC leadership, CSC committees and external advisory board members to build and develop research program(s), as well as administer the planning and evaluation efforts of the program(s), and the implementation of programmatic initiatives.?? This role assists in administrative functions for NCI designation and the CSC Administration Office. This includes providing support for the planning, execution, and post-event evaluations for special events, as well as pre-and post-award administrative functions for NCI designation proposals and research program proposals. The Program Administrator applies a detailed knowledge of the areas of assigned responsibility, and a general knowledge of the institute functions and its interrelation with the larger Health System organization. The Program Administrator is responsible for planning, implementing and administering the day-to-day operations of a recognized organizational and/or significant departmental program. The Program Administrator has the authority to make independent decisions related to program administration and contributes to the strategic planning, design, development and implementation of program objectives, procedures, processes and standards. Primary Duties and Responsibilities Proposes, develops, coordinates, and organizes resources to meet program objectives. Partners and collaborates with leadership and key stakeholders on the program’s proposed scope and/or process changes. Responsible for developing or recommending process, improvement measures, coordinating program activities and timelines, and determining if resources meet program objectives and needs. Supports training needs and implements applicable education, training, on-boarding and/or mentorship pertaining to the program. May include precepting pertaining to the program. Researches, gathers, and summarizes data from various sources to evaluate program performance and/or program operations. Makes recommendations to management based on findings. May provide information to program participants, stakeholders, and/or cross functional teams. Identifies growth opportunities and efficiencies impacting the program and/or department’s success. Proposes and/or creates plans to achieve program objectives. Maintains data system integrity and ensures quality assurance measures are followed based on departmental and/or program standard operating procedures. May provide ad hoc reporting to support recommendations observed through trend analysis for future planning and enhancements. Monitors program to ensure appropriate governance and program compliance with internal policies and procedures as well as with local, state and federal laws; accreditation, professional and regulatory agency standards and licensure requirements as appropriate. Assists and coordinates with monitoring, communicating process or compliance changes, and implementing plans to update processes. May assist with, or take corrective actions, as needed. Supports management with planning, monitoring and managing the program’s fiscal budgets and financials. Resolves or escalates issues as needed. Identifies program participants and stakeholders and leads cross-functional teams in the program’s administration, maintenance or expansion. Interfaces with internal/external stakeholders to maintain and further develop program growth, community outreach activities, as well as relationship building and maintenance. Serves as the primary contact and resource for the program operations and administrative activities. Contributes to the program’s communication documents including reports, policies and procedures, and other program materials. May plan, lead, and/or assign program-related work to others. Department specific responsibilities Provides guidance to the program directors, program working groups, and/or committees. This includes working with researchers and administrators throughout Cedars-Sinai to foster collaboration and communication with other clinical and research programs in the institution and facilitate program team project proposals, grant submissions, and related communications. The Program Administrator will also coordinate and assist the research program(s) efforts and initiatives related to community engagement and outreach, and education and training. Provides periodic programmatic guidance and support, including helping prepare meeting agendas, keeping minutes, preparing summary of action plans, monitoring completion of action items, and completing action items assigned to the position. Prepares program metrics and trend reports to program leaders and senior leadership, on defined frequency or as requested by leadership (e.g. CSC membership, cancer-related list of publications, publication metrics, grants funding), partnering with programmer analyst and other CSC data administrators as needed. The Program Administrator will work with the program leaders, CSC leadership and/or marketing to ensure effective program communications. The Program Administrator is expected to communicate and meet regularly with the program leaders, CSC leadership, and administrative leadership, who will provide overall direction and vision to advance the development and implementation of the research programs goals and initiatives. Coordinates a variety of CSC events, including retreats, program meetings, scientific symposia, seminars, conferences, workshops, faculty recruitment visits, other program related committees or working groups meetings, and other CSC functions, as assigned. Coordinates all aspects of from the planning and development stages to post-event evaluation. Provides coordination and administrative support for NCI designation related activities and meetings, including CCSG Executive Committee meetings, EAB visits, and NCI site visits. Coordinates scheduling of strategic and executive planning activities, as assigned. Provides coordination and assistance in NCI designation and research programs pre-and post- sponsored project submission and related activities. May work directly with the program leaders, working groups, and/or other administrators and leadership to develop research program project proposals. Participates in the research and academic activities of the institute, strategic planning, philanthropic development to support research efforts. Represents the interests of the institute and the research programs in inter-and intra-institutional research projects. Develops and administers budgets and reconciles expenses for the research programs. Coordinates and expedites flow of work. Initiates follow-up actions. Serves as resource to others on research programs and CSC procedures or in the resolution of moderate and complex problems or issues. Interacts with CS offices and department staff to facilitate communications and information exchange. Composes and produces a variety of business correspondence, reports, confidential documents and/or forms, and related materials. Ensures compliance with all federal, state and local agencies. Participates in required training and education programs. Demonstrates initiative, resourcefulness, and problem-solving skills in organizing and prioritizing. Demonstrates superior communication skills for interactions with faculty, administrators, and employees. Ensures the timely completion of work assignments in accord with established timelines. Assists Cedars-Sinai Cancer leadership on other activities as assigned. Qualifications Requirements: High School Diploma/GED required.
