Position Summary Under the supervision of the Program Director, the Program Advisor provides comprehensive services in the recruitment and admissions process for UCLA Extension’s Paralegal Training Program. Functions include participating in recruitment events, advising prospective students, processing applications, and tracking and updating data related to the recruitment and admissions process. The Program Advisor creates and maintains relationships with college representatives, law firms, corporate legal departments, nonprofit organizations, employers and relevant trade associations to promote the program and also identify emerging trends and market needs for paralegals. In addition to recruitment functions, the Program Advisor supports the program’s career services by assisting in tracking employment outcomes, conducting outreach to legal recruiters, and maintaining knowledge of legal hiring trends. It is expected that the incumbent maintain familiarity with all aspects of the Paralegal Training Program and relevant American Bar Association guidelines in order to respond effectively to inquiries from prospective and current students, graduates, employers and other members of the legal community. Incumbent may also participate in advising students or graduates on career-related issues. Salary & Compensation *UCLA provides a full pay range. Actual salary offers consider factors, including budget, prior experience, skills, knowledge, abilities, education, licensure and certifications, and other business considerations. Qualifications Skill in organizing work and setting priorities; Ability to determine and meet deadlines, under the pressure of conflicting demands and multiple deadlines. (Required) Skill in coordinating the necessary steps for implementing programs; Ability to follow directions and respond effectively to changes in directions and plans. (Required) Ability to analyze a wide variety of factors in order to make necessary adjustments and recommendations of change; Ability to actively suggest and promote improvements and innovations to programs and business processes and practices within the department and UCLA Extension. (Required) Skill in interacting with people of various social, cultural and educational backgrounds, to establish rapport; Ability to speak on a one-to-one basis and to groups, using appropriate vocabulary and grammar to obtain information, explain procedures and make oral presentations; Demonstrated ability and willingness to represent the unit or department publicly and answer questions in a professional manner to groups such as potential students, instructors, UC staff, and others as required; Ability to respond to conflict or problems in the workplace with equanimity. (Required) Interpersonal skills to work effectively with staff, campus and UNEX personnel as well as employers and students. Ability to recognize situations when discretion is required and maintain confidentiality of information and records; Ability to initiate and maintain professional and cooperative relationships with coworkers, managers, supervisors, customers/clients, and members of the public. (Required) Ability to interpret UC, Campus, Department, and unit policies and procedures and to use them effectively. (Required) Ability to maintain an open approach regarding performance feedback and guidance; Ability and willingness to learn new skills and tasks. (Required) Writing skills to compose correspondence, promotional copy, and reports in a clear and concise manner, using proper syntax and grammar. (Required) Demonstrated counseling skills to handle difficult issues such as denial of admission, academic difficulties, and student employment issues effectively, empathetically, and with discretion. (Required) Ability and willingness to provide excellent, prompt, and consistent service to external and internal customers. (Required) Detailed knowledge of ABA policies, requirements and guidelines as they pertain to paralegal education. (Preferred) Ability to edit resumes, cover letters, career handbooks, and other written material for accuracy, format, style and content. (Preferred) Education, Licenses, Certifications & Personal Affiliations Bachelor’s Degree Bachelor’s degree in related area and / or equivalent experience / training. (Required) Special Conditions for Employment Background Check: Continued employment is contingent upon the completion of a satisfactory background investigation. Live Scan Background Check: A Live Scan background check must be completed prior to the start of employment. Age Requirement: Candidate(s) must be 18 years or older to be eligible to be hired. Ability to work some nights and weekends to attend program events, including information sessions, orientations, and relevant trade organization functions.
