Job Summary The Student-Faculty Programs Office manages multiple undergraduate research programs for Caltech and the Jet Propulsion Laboratory (JPL). This position is responsible for the planning, implementation, and evaluation of enrichment activities that enhance and support the success of our undergraduate research community. Reporting to the Assistant Vice Provost and Director of the Student-Faculty Programs Office, the Program Manager will focus on supporting programs related to undergraduate research at Caltech. Areas of responsibility will include the planning, facilitating, and assessing of enrichment programs designed to support undergraduate researchers and their mentors. The Program Manager will also advise Caltech students in pursuit of undergraduate research opportunities and manage the Research Ambassador program. The successful candidate will have experience in working with undergraduates in a science and engineering environment and on promoting inclusive and equitable outcomes through their work. This position requires an ability to multitask in a high-volume office, take initiative, and work independently while providing outstanding customer service to the students, faculty, alumni, donors, and staff with whom we work. Some evening and weekend hours are expected, especially between June and August. Essential Job Duties In partnership with SFP staff, design, lead, and assess and annual calendar of enrichment activities that support undergraduate researchers. This includes but is not limited to coordinating an academic and professional development series, faculty research seminars, communication workshops, and social/cultural events. Lead the logistical planning and implementation of student enrichment activities, including scheduling rooms, AV, and facilities; ordering catering and needed supplies; and setting-up and tearing-down events. Manage event advertising, registration, and RSVPs; produce nametags, registration lists, and other event materials. In collaboration with SFP staff, organize, implement, and assess professional development programs for faculty, post-doc, and graduate student mentors and co-mentors. Manage student communication awards, such as the Perpall Speaking Competition, Gee Poster Competition, and Bonsall Writing Prize. Assist in the marketing and communication of SFP activities to students, faculty, and others. Supervise SFP Research Ambassadors and support the summer House Ambassador program. Advise and mentor students applying to and participating in our summer research programs. Collaborate with campus offices to coordinate and deliver programs and services. Deliver responsive, informative, and polite assistance to prospective and current SFP students, faculty, alumni, donors, and other campus staff. Demonstrate excellent judgment and interpersonal skills in interacting with a diverse clientele. Other duties as assigned. Basic Qualifications Bachelor’s Degree or equivalent experience. At least two years of experience in planning and implementing a variety of programs and events, preferably in a higher education environment. Ability to design and deliver effective programs and services. Capable of solving both routine and semi-routine problems. Knowledge and experience with various social media platforms. Effective customer service skills coupled with strong oral and written communication and attention to detail. Experience in assessing programs and services related to undergraduate research. Demonstrated flexibility and willingness to handle change. Preferred Qualifications Master’s Degree, in student affairs or related field. Required Documents Resume.
