AppleOne is proud to present:
Immediate need for a data entry/receptionist. The Data Entry/Receptionist provides administrative support to the machine shop by handling front office duties, managing data entry tasks, and assisting with purchase order processing. This position serves as the first point of contact for visitors and customers while ensuring accurate and efficient recordkeeping to support production and purchasing activities.
Key Responsibilities
Reception & Office Support:
- Greet and assist visitors, vendors, and customers in a professional manner.
- Answer and direct incoming phone calls and emails.
- Maintain a clean, organized, and safe front office environment.
- Data Entry & Administrative Tasks:
- Enter and update data into spreadsheets, databases, and company systems (e.g., job orders, invoices, time records).
- Verify accuracy and completeness of all data entered.
- Maintain electronic and paper filing systems for easy access to records.
- Assist with preparing reports, labels, and production documents.
- Enter invoices into the system.
Purchase Order & Job Coordination:
- Read and interpret purchase orders to ensure all required information (quantities, materials, part numbers, due dates) is captured correctly.
- Communicate with customers or suppliers regarding order status, discrepancies, or missing information.
- Coordinate with production staff to ensure work orders align with customer requirements.
General Office Duties:
- Schedule meetings, deliveries, and service appointments as needed.
- Handle all invoicing, billing, and other clerical tasks as required.
Qualifications
- High school diploma or equivalent;
- additional coursework in office administration or manufacturing a plus.
- Strong data entry skills with high accuracy and attention to detail.
- Ability to read and understand purchase orders, job travelers, and related documents.
- Proficient in Microsoft Office (Excel, Word, Outlook) and basic database software.
- Excellent communication and organizational skills.
- Dependable, professional, and able to multitask in a fast-paced setting.
Work Environment
• Office located within an active machine shop environment.
• Regular use of computers, phones, and standard office equipment.
• May occasionally interact with shop personnel and handle paperwork from the production area.
Details:
• Pay: $24 per hour
• Schedule: 8:00 a.m. – 4:30 p.m. (possible overtime)
• Location: Montebello, CA
