The Sales Admin will support the sales team by assisting in proposal preparation, bid management, project startup
coordination, and organizing events and travel logistics. This role also includes tracking sales leads, ensuring timely
follow-ups, and providing updates on pending bids and events.
Key Responsibilities:
· Sales Support and Administration:
o Assist with preparing proposals, quotes, and bid documentation for fire sprinkler installations and fire
life safety inspections.
o Prepare paperwork and documentation for client meetings and presentations.
o Track sales leads, monitor follow-ups, and ensure timely responses to client requests.
o Prepare expense reports with proper cost coding.
· Bid and Proposal Coordination:
o Assist with bid preparation and submission for fire sprinkler projects and fire life safety inspection
services, ensuring all required documents are included.
o Organize and maintain the proposal submission process to meet deadlines.
o Collect relevant information from internal departments (e.g., estimating, engineering) to support bid
preparation.
o Follow up on proposals and bids to confirm receipt and address any client questions.
o Assist with post-bid processes, tracking bid statuses, reviewing feedback, and updating the team on
outcomes.
· Project Startup Coordination:
o Support the sales team in gathering required paperwork for project startup, including booking sheets,
safety documents, background checks, and insurance documentation.
· Event and Trip Scheduling:
o Coordinate and manage internal and external events, such as client meetings, site visits, trade shows,
or industry conferences.
o Assist with travel logistics, including booking flights, hotels, and transportation for sales team
members attending events or client visits.
o Ensure all necessary materials (e.g., brochures, product samples, presentation decks) are prepared for
events and trips.
o Communicate event details to the sales team, ensuring they are fully prepared.
o Maintain a calendar of events and trips, ensuring no scheduling conflicts.
· Sales Reporting and Tracking:
o Maintain a system for tracking and monitoring sales leads.
o Provide the sales team and management with updates on pending bids and upcoming events.
